Display a historical chart of a vendor balance

Can I display a historical chart of a vendor balance? The chart would (obviously) go up when we make purchases and go down when we paid the vendor. I'd like to see the highs/lows/averages etc balance over time.

Welcome to the QuickBooks Community! You've come to the right place for guidance on this. I'd love to show you exactly how you can use QuickBooks Desktop to view the transaction history you've had with a specific vendor. This is where reports will come in handy, and if you haven't yet explored the various reports at your disposal, I know you'll love these tips.

 

Reports give you an overview or snapshot of different areas of your business and make tracking your income and expenses a streamlined process. QuickBooks Desktop is equipped with a report for just about everything, and I'm happy to share that there are several that I think will suit your needs. I'll explain how you can access them so you can play around and customize them in order to pull the data you want. 

 

Here's how to access reports, and a few that you might find helpful:

 

  1. Navigate to the Reports menu located on the top menu bar within QuickBooks Desktop.
  2. Select Report Centre
  3. Choose Vendors & Payables or another category that you think fits your request.
  4. Select a report to run. I suggest the following: Vendor Balance DetailExpenses by Vendor SummaryExpenses by Vendor DetailPurchases by Vendor SummaryPurchases by Vendor Detail, or Transaction List by Vendor.

 

If you'd like, you can customize any of these reports to show specific data, add or delete columns, add or remove information, and personalize the font or style. There are also a variety of filters for each report that allow you to draw different information from your company file. Remember that what you see in these reports is reflective of what you've entered into the system, so if something doesn't quite look right, be sure to check that your transactions were entered correctly and that you're viewing the appropriate date range.
