Hi Hamzazia1992,

 

It's great to see you in Community.  Welcome!  QuickBooks Online provides the features you need to invoice billable time and track your billable expenses.  I'd be glad to assist!

 

If you're subscribed to QuickBooks Online Plus, you can enter billable expenses that can be reimbursed by your customer when they receive their invoice.  If you need to upgrade your subscription, click here.  To get started, you'll need to turn on billable time.  Here's how;

 

1. Open Settings ⚙ and select Account and settings

2. Click on Expenses from the left menu

3. Click Edit ✎ for the Bills and expenses section

4. Turn on the following:

  • Show Items table on expense and purchase forms
  • Track expenses and items by customer
  • Make expenses and items billable

5. (Optional) Set up the following:

  • Markup rate
  • Billable expense tracking

6. Bill payment terms

7. Hit Save.

 

Follow these steps to bill a customer for an expense;

 

1. Select + New from the left menu

2. Choose Bill, Expense, or Check for the transaction you want to create

3. Select the Payee from the ▼ dropdown menu

4. In the Category column, select the expense account for transaction

5. Enter the Description and Amount, then select the Billable checkbox

6. In the Customer column, select the customer you want to bill for this expense

7. Select the Tax checkbox or choose a tax agency if you want to charge tax

8. Hit Save and close.

 

You're ready to add the billable expense to an invoice;

 

1. Select + New and then Invoice

2. In the Customer ▼ dropdown menu, select the customer you created a billable expense for (This opens the Add to invoice window)

3. Select Add on the billable expense you want to charge to your customer

4. Select Save and close.
