How to customize forms

The help menu tells me that when I am editing the form, I can choose display vs print but I only have the display option

Thanks for joining us yet again here in the QuickBooks Community. It's awesome to see a familiar name and I'm glad you're still working away at managing your books in QuickBooks Online. We aim to provide you with the tools to make your business stand out, and custom form styles is one of the ways we like to do that. I'll help you with navigating these options.

 

When you're working directly in the Custom form styles section, the way to choose whether a field appears on a form or not is to check or uncheck the box for that field. In this case, it isn't a situation where it's print versus display, but rather whether or not the field is on the form at all. The exception to this is with custom fields, which are available in QuickBooks Online Essentials and Plus accounts. On the custom form setup, you won't see the option to choose how it displays or prints, but I'll show you where you'll be able to make that decision. Follow these steps.

  1. Select the Gear icon.
  2. Choose Account and settings.
  3. Click Sales.
  4. Click the pencil icon on the Sales form content section.
  5. Enter Custom fields.
  6. Check off the Internal box.
  7. Check off the Public box if needed.
  8. Click Save.

If you choose that the field is only Internal, that means it'll only be reflected in your books. If you choose the field as Public as well, the customer will be able to see it when it's used.

 

I have a feeling you may have come across an article for QuickBooks Desktop, which has the option for many fields to choose whether they appear only on the Screen (Internal in QuickBooks Online) or in Print (Public in QuickBooks Online). If that's not what you're seeing, having a better sense of where you're looking and seeing or not seeing these options will help.
