How to fix Paypal transactions where $135 cad ($100USD) was paid, but showing up in QBO as $100 CDN thus can’t match the transaction?

Making sure your transactions are entered into your books with the appropriate currency is a vital part of making sure your numbers are in balance. It sounds like you've connected your PayPal account through the QuickBooks Online bank feeds, which can get a bit tricky. I'll explain and let you know the options.

 

When it comes to the bank feeds and even the accounts in general in QuickBooks Online, you can only choose one currency. Since programs like PayPal work with multiple currencies, this can become a problem when a transaction that should be in a different currency enters the feed because it will always register as the main currency for the connected account. In your case, it sounds like you configured PayPal to feed into a CAD currency account in the Chart of Accounts, which would be why you're seeing even the USD currenyc transactions enter in CAD.

 

One of the options you can consider is excluding transactions in the PayPal connection that should actually be in another currency. This will allow you to continue to easily match the Canadian currency transactions while not having to worry about the foreign currency ones that aren't entered for the right amount. You'll simply have to make sure that you're manually entering the transactions through the features in the +New menu instead. The next option is to use a third-party app to integrate your PayPal transactions instead. Feel free to take a peek at the Apps tab in your QuickBooks Online account to see what's available and learn how they work. If you come across one you like and have more questions, contact the app's support team, which will be listed on the information page about the app.

 

When going with the second option, I recommend disconnecting the PayPal connection in the bank feed so you don't have to worry about those transactions moving forward. Here's how you can do that.

  1. Navigate to the Banking tab.
  2. Select the PayPal account.
  3. Click the the pencil icon.
  4. Choose Edit account info.
  5. Check the box Disconnect this account on save when on the Account screen.
  6. Hit Save and Close.

Once you've done that, the transactions will no longer come through the feed in the Banking tab.
