When I try to enter a bill or modify an entry, a warning dialog box pops up, stating, "Quickbooks cannot add more than one level to the Account list at a time." Then Quickbooks gets stuck here and can't be closed.

Hello JD6688,

Welcome to Community!  Receiving a warning when creating your forms, can be a little concerning.  QuickBooks Desktop provides these messages, to ensure you're on the right track with your work.  I would be happy to provide some insight here!

It's important to note that QuickBooks doesn't allow you to record transactions that contain:

  • Two A/R accounts
  • Two A/P accounts
  • One A/R account and one A/P account

If you've set up QuickBooks to automatically pre-fill accounts for a supplier and you choose Accounts Payable as the default account, you'll need to remove Accounts Payable from the supplier's Account Settings and make sure to only use expense accounts for the supplier.

1. Open the Supplier Centre from the Suppliers menu

2. Double click the name of the supplier

3. In the Edit Supplier screen, go to the Account Settings tab and use the drop-down to remove Accounts Payable

Note that the drop-down should only have expense accounts.

4. Select OK.

Should you require additional assistance, I feel you would benefit more by contacting our QuickBooks Desktop Customer Care team outside of Community. They would enjoy the opportunity to work with you personally, so you can complete your QuickBooks goals without delay!

Feel free to reach back out, with other questions. We would be glad to help!
