I'd like to export a TB to Excel with the account numbers in a separate column (not in the same column as the account name)

Hi there, 

 

QuickBooks Online gives you the flexibility to generate reports to get insights about your business. And you can export them to Excel if you want to use your reports outside of QuickBooks. I'll be happy show you how.


How to export reports from QuickBooks Online to Excel

  1.     Select Reports.
  2.     Search for and select the report you want to export.
  3.     At the top of the report, select the Export icon. Then select Export to Excel.
  4.     Save the file somewhere you can easily find, like your Downloads folder or your desktop.   
  5. Note: If you’re missing data when you open the report in Excel, the file's in protected view. In Excel, you’ll need to select Enable Editing to view the full report. 

Based on what you've described, it's not possible to have the account numbers in a separate column. If you don't account numbers to show up on the report, you can temporarily turn off account numbers from the company settings. Here's how:  

 

  1.     Go to Settings ⚙ and select Account and Settings. 
  2.     Select Advanced.
  3.     Select Edit ✏ in the Chart of accounts section.
  4.     Select Disable account numbers. If you want the account numbers to show on reports and transactions, select Show account numbers.
  5.     Select Save and then Done.

That doesn't answer the question.  There needs to be a way to export the trial balance and have the account numbers and descriptions in 2 separate columns.

 

How can this be done?

The Trial Balance in QuickBooks Online is designed with a focus on providing a detailed overview of everything that happened in your books, so the customization options available are to help maintain consistency. As a workaround, you could add a comma (or other symbol) at the end of your account numbers. This makes it easy to use the excellent Text to Columns feature found in the Data tab of your Excel software. Just insert an additional column to the right of the Account column, then use Text to Columns to split the information delimited by your symbol.

I am also having this issue and it's going to cause hours of manual data entry. I cannot believe this is not an option in QB. This should be a very simple fix on QB's end. I would consider switching to another program if I wasn't already invested in QB. Hugely disappointing.
