Question

I'm missing a lot of transactions in QBO from my bank. For example, for my business credit card account all May and August transactions are missing. How can I fix this?

Try opening your QBO account on any private/incognito browser and running the bank feeds again.

I'm joining the thread to help you with this missing online banking transactions concern in QuickBooks Online, @klavaz.

Before anything else, I need to know what financial institution are you using for online banking? I need this information to check with our engineers if there's any reported issues for your bank that is under investigation.

There are a few reasons why the system is unable to download your bank transactions in QuickBooks Online Banking. Consider the following:

  • The bank recently made some changes with their connection.
  • There is a system maintenance.
  • QuickBooks Online is unable to connect to your bank's website.

In the meantime, try doing these steps and see if makes any difference:

  1. Log into your QuickBooks account and go to the Banking tab.
  2. Click on the account that's having the issue, then select the Pencil Icon to edit.
  3. Select Edit Account Info.
  4. Fill in the details of your bank account and try to re-establish the connection with the bank feed.

To learn more about fixing online banking issues, see this article: What to do if you can’t find downloaded transactions in QuickBooks Online.

If the transactions are not coming in and you're in rush to get bank transactions in your account for reconciliation, the only option is to upload them manually. Please know that when the online banking connection resumes, the bank will re-download the transactions that were not fetched before.

To avoid any duplicates, you can exclude them in the For Review tab so it doesn't add in to your register twice. Here's how:

  1. Go to the For Review tab.
  2. Mark the box next to each transaction you want to exclude.
  3. Select Exclude from the pop-up at the top.

Excluded transactions are then moved to the Excluded tab, and won’t be added to QuickBooks or be downloaded again. To permanently delete duplicate entries, put a check mark on them, then hit Delete.

Kindly update me with the additional info about the issue, as I want to make sure this banking concern is fully fixed. I'll be more than glad to share additional insights and assistance any time. Have a wonderful day!

Hi Jen_D and thank you for your reply!  I'm with Scotiabank, which now have set up a security login system that requires me to reconnect QBO with my bank everytime I log in to QBO, otherwise it says there is a problem with connection.  The think is that I'm missing random transactions, like a few in March and then the whole of August, but the rest of the transactions are there?!

I appreciate you for getting back, @klavaz. I've got some additional troubleshooting steps to fix your missing bank transactions.

Your bank may get disconnected from QuickBooks within this period causing your transactions to be missing. You can reconnect your account to download them. If you see duplicate records, exclude them as suggested by my colleague Jen_D above.

Otherwise, you can prepare an Excel CSV file for those entries. Then, upload them to QuickBooks manually.

  1. Click on Banking on the left pane, then go to the Banking page.
  2. Select the blue tile for the account you want to upload the transactions into.
  3. Tap on the Link account ▼ dropdown, then Upload from file.
  4. Select Drag or drop or select files and then select the file you downloaded from your bank. Then, Continue.
  5. In the QuickBooks account ▼ dropdown, select the account you want to upload the transactions into. Then select Continue.
  6. Follow the onscreen steps to match the columns on the file with the correct fields in QuickBooks. Then select Continue.
  7. Pick the transactions you would like to import. Then, Continue.
  8. Hit Yes.
  9. When you accept your transactions, select Done.

You can learn more about manual upload from this article: Manually upload transactions into QuickBooks Online.

Moving forward, ensure that your bank is connected to avoid the same issue. Once linked, the system will automatically download your latest transactions. All you need to do is to review and categorize them.

Please let me know if you have any other banking concerns. I've got your back and am always happy to help. Wishing you and your business all the best.
