We have a Quickbooks account that aloows up-to  users. My question is: If I, as admin, add another user in multiple users, Do we have to pay extra for this other user.  When I added my friend to the multiple user, I was ppropted to buy another user account.  

Also, i and the other user are not in the same loication and are therefore not on the same network.  What do I or he have to do to get him on board as a second user?   How do I give him the password and how does he use it?

It's nice to see you in Community.  Thanks for reaching out.  QuickBooks Desktop has the versatility you need when it comes to managing users.  I would be happy to provide some insight here!

 

A QuickBooks Desktop license can include multiple license seats.  You will need one license seat for every person in your network, who will be using QuickBooks Desktop.  However, before purchasing additional user licenses, I suggest reviewing your account, to see what you've already purchased. To see how many users are included in your QuickBooks license, open your QuickBooks account and press F2 (or Ctrl+1) to open the Product Information window, which shows your license and the number of seats. QuickBooks Desktop can be installed with a 1-user license on a primary computer and one additional computer, for use by that same specific person, as mentioned in your license agreement.

 

You can buy an additional user license in product.  Here's how;:

 

1. From the Help menu, select Manage My License and then select Buy additional user license.
​​Note: If Buy additional user license isn't available, it's because you're already at the maximum amount of users

 

2. After purchasing the licenses, install QuickBooks Desktop on additional computers based on the number of licenses you purchased. Use the same license and product numbers that you used to originally install QuickBooks Desktop.  After installing, select Register QuickBooks from the Help menu to register and update your new license information.
