Hi SBoutique,

I'm happy to see you've been part of the QuickBooks family for a year! I hope you're enjoying the many advantages available to make your bookkeeping more efficient, and the added simplicity of tracking inventory. QuickBooks Online does a lot of advanced recording in the background, so you just have record sales and purchases to keep an accurate record of your cost of goods sold. To continue using the full potential of this powerful feature, it's crucial to record things accurately. I'll be happy to assist you with this.

The best way to record an inflow of inventory is by using the Item Details section of a Bill or Expense. This reduces your bank account, increases your inventory asset account, affects your future costs of goods sold on a FIFO basis, and tracks the sales tax appropriately. The information required to accurately record the individual purchases isn't always available when entering an opening balance, but we can easily enter the initial quantity on hand with a cost and inventory asset amount. It's just a few simple steps:

  1. Click on the Gear icon and select Products and Services
  2. Select the New button and choose Inventory.
  3. Enter Initial quantity on handAs of date, and Cost to accurately record the asset value at that date.
  4. Click Save and close

If you've already been tracking inventory, you'll have to option to adjust the Starting value when editing the item. This will be used to recalculate your cost of goods sold retroactively, so please consult with your accountant about the best way to approach this. Not only are they an incredible ally in maintaining accurate inventory valuation, but they're an expert at applying their skills to your business' specific situation. You can easily invite your accountant as a user to handle this as a team.
