Question

Reactivate Search

I am hoping to find some assistance in a problem we have been having with our online Quickbooks for the past few weeks (since approximately when the sidebar came onto the left side of the screen). With our sales customers, we “inactivate” and “reactivate” many customers so that employees cannot apply charges incorrectly in T-Sheets. What is happening is that after we inactivate a customer in QB’s and want to reactivate the customer at a later date, the customer cannot be found by typing & searching, we have to scroll through thousands of customers to find the customer which seems to now be listed alphabetically then numerically, then by deleted/inactive. This did not used to be a problem, we could always type in the customer and it would autofill. For example, we have customer Crescent Point which then has many many different projects, which are then assigned a project number. If you go to Customers, Suppliers, go to the gear on the right  and select “include inactive” you can type “Crescent Point” and hundreds of projects listed by number come up. If you type customer 11189.01, it does not autofill but if you scroll through page by page you find it on pages 301-450 and can make it active. When we require more recent projects, it takes a LONG time to click next next next next to get to the correct page because there’s literally 9,000 pages and I have literally scroll through every page looking for the correct number and we have more customers than just Crescent Point. Was there an update that changed how customers/suppliers are listed alphabetically/numerically? So if I have a Crescent Point project that is newer and starts 18045.01, it’s even more difficult to find. I have tried different browsers, I have tried my computer from home, I have tried incognito, the same thing is happening for our administrative staff at a different office location – neither of us used to have this issue.

Hello laura38,

Thanks for the extensive explanation of what's happening when you're searching for an inactive customer to make active again and try to search for them using the search bar. I can appreciate how having a large number of customers and projects like you do would cause problems when you can't efficiently search for them.

The troubleshooting you've done so far is great and the perfect way to find out if something is a program feature or if it's a glitch caused by a browser. In this instance, I'm able to reproduce what you're saying as well. When I make a customer inactive, they no longer appear when I search using their name.

In light of this, this seems to be a product limitation. I have a workaround you can try for bringing up the inactive customers you want to make them active. It involves running the Customer Contact List report. Follow these steps.

  1. Select Reports from the left menu.
  2. Find the Customer Contact List report.
  3. Click Customize.
  4. Choose Filter.
  5. Choose Deleted from the Deleted checkbox drop-down.
  6. Click Run report.
  7. Click the name of the inactive customer in question from the report.
  8. Click Make active on the customer profile page.

Give it a shot! I know if you have a large number of inactive customers as well as active, it may still take some time, but hopefully this will cut down on the time spent searching.

I also welcome you to submit feedback about this by following the steps in this article: How do I submit feedback? With feedback from users like you, we can continue to enhance QuickBooks Online and what it can do for you.

I'm here if you need anything else. Enjoy the rest of your day!
