Split a transaction to include a purchase and a return

Can you split a transaction to show both a purchase of an item and a return of another item in the same transaction? I originally purchased an item which we have already recorded in QBO, it was the wrong item so I returned it and purchased the correct item. The original item was more expensive than the correct item, so the transaction ended up being a partial refund on my credit card. How do I record this correctly?

Hello snow151,

 

It's fantastic to see that you're looking for the most accurate way to record a transaction in QuickBooks Online. Our program comes equipped with tons of ways to account for your income and expenses, and using the bank feed makes that process even easier. Let me go over a few things with you.

 

There are a few ways that you can record these transactions. You mention that the original bill has already been recorded, so the next transaction to record would be a Supplier Credit in the total amount that you were refunded. You can then record the new Bill for the item you purchased, using the supplier credit towards the Bill Payment. You'll be left with a supplier credit remaining. You can then create a Credit Card Credit to represent the amount you were refunded. This is one way to record these transactions, but it's important to check with your accountant before proceeding. There may be a different way that they'd prefer you to use to enter these into your books. Invite your accountant to join you in QuickBooks by navigating to the My Accountant tab and entering their email address. You can also use the Find a pro to help button to find a QuickBooks-certified accountant in your area.

When it comes to matching these transactions within the bank feeds, it may or may not work. If the supplier, dates, and amounts match up to what's pulled into your feed, you may be able to use the Find Match option to search for the transactions that make up the amount. If you're unable to find those transactions though, the best option would be to Exclude the transaction from the bank feed. Simply check the box and hit Exclude. This sends the transaction to the Excluded tab, where you can hit Undo to send it back to For review at any time, if necessary. The only difference this makes is that when it comes time to Reconcile your account, you'll have to manually select the transactions you entered that make up this amount after reviewing it against your statement, rather than having it automatically checked off for you. It's really no big deal!
