Question

Square Connect set up does not allow daily sync with QB

The Square Connect set up process omits to ask if I want to sync every transaction or daily as stated in step 8. in the instructions and in the QB video. It goes straight from choosing locations/bank accounts to Finish. I have too many individual transaction for QB/me to cope with.

Thanks.

Hi mediumwolf,

Welcome to the Community. It's important to correctly record your transactions to keep your books balanced. QuickBooks Online is a great program that gives you the ability to easily track your sales and expenses. I'd be glad to help you regarding Square Connect.

This type of issue can be caused by browser cache and cookies as they can prevent the system from functioning effectively. I encourage you to refer to the following steps to complete some browser troubleshooting.

If the steps provided above don't work, I recommend that you contact our customer support team. They'll be able to take a closer look at your account. Here are some options available to reach out to our team.

  • Phone: Call us at 1-855-253-1536 from Monday to Friday between the hours of 9 AM and 8 PM EST.
  • Schedule a Callback: click (?)Help in the upper right > type and enter "Contact support" into the QB Assistant > click Contact Us > explain your situation > click Let's Talk > choose Get a callback.

Let me know if you have questions, I'll be happy to help.

Thanks for the standard response. Tried all that and, as expected, still the same problem. I did notice that it seemed to skip stage 5.

OK, I will give support a call.

If anyone else has had the same issue please let me know,

Thanks,

@mediumwolf

Use the trial version of a 3rd party app connector to isolate the problem.

I'm pretty sure that I figured this out.

For whatever reason, the Canadian version of this app (created by Intuit) does not allow for 'Daily Summary' integration, only individual transactions.

If we did individual transactions, our QBO would get so incredibly bogged down that my accountant would quit.

I'm trying other third party apps because clearly the one made by QBO doesn't work this way.

If anyone has any suggestions, I'm open. Currently we do a daily journal entry but that's getting more confusing now that there are gift card load fees, taxes on fees, etc.

Correct. I had the same problem last year. The app. says that you can choose  a daily aggregation of data but when activating the app. it does not allow this. For our coffee shop we have too many orders for each one to come over separately. Infact when I tried this (several times) QBO froze up presumably because of an excess of data. I gave up on Square Connect.

This season (we are seasonal) I have just started using the Commerce-Sync third party app ($18/month). It is simple to set up. There have been issues with HST since this is a pigs ear in QBO. The QBO API gives more than one HST rate (although these are not shown on screen) which confuses the app which needs Square and QBO to sync with exactly the same tax rate names. You may be lucky and everything works right straight away. I have found the Commerce-Sync tech support to be truly excellent despite some poor reviews. They did not give up on the problem whereas QBO tech support did.

Commerce-Sync sends over one invoice per day with everything in one place. I does also send an aggregated cash and debit card sales transaction and separate credit card transactions but you don't normally need to look at these. Just watch out for sales with multiple tax rates—apparently QBO does not handle these and this would stop the app syncing.

I hope that help.

I also tried to use Commerce, but that was about 2 years ago, and they had trouble with zero-rated goods and, as you mentioned, multiple taxes. At the time I had to abandon the project after about 6 weeks of tech support.

Sadly, I'm gathering that there is NO free/cheap version of this app that simply ports the daily payout data into QBO. I find it supremely annoying that the US has this option but for some reason it's turned off in Canada.

What REALLY got my goat is that QBO kept telling me it was Square's issue and Square could offer no help because the app was built by Intuit. This sort of thing made me ALMOST ditch QBO until I realized that all these softwares are the same: good at some things, really really crappy at others.

FWIW, I'm looking at Amaka as an option now, but since the square app inserted and locked some basic accounts, I'm not sure I'll be able to get it working.

Thanks for responding!
