Hello there, Kayann. Let me share some insights to clarify your concern about foreign exchange rates in QuickBooks Desktop (QBDT).

Before we proceed, may I know if you're trying to transfer funds from a USD account to a CAD account using the correct exchange rate?

If yes, we can make use of our Transfer Funds feature by turning on the multiple-currency option in QBDT and transferring your funds from another account.

To set up your multicurrency, you can follow the steps below:

  1. Go to the Edit menu and select Preferences.
  2. Select Multiple currencies.
  3. From there, you have to select the Company Preferences, then tick the box that states Yes, I use more than one currency.
  4. Select your home currency and click OK.

Please take note that once you enable multiple currencies, you can't turn it off. From there, the system will restart to apply the changes. Once done, we can now start to transfer your funds between accounts.

Here's how:

  1. Go to the Banking menu and select Transfer Funds.
  2. From the Transfer Funds From section, select your USD bank account.
  3. In the Transfer Funds To, select your CAD bank account.
  4. Choose the Transfer Currency and enter the Transfer Amount.
  5. Once done, click Save & Close.

This process ensures that the correct exchange rate is applied when moving money between your USD and CAD accounts.

On the other hand, if you're trying to deal with your gain or loss exchanges from USD to CAD. You have to use a Journal Entry for it to be recorded. However, we highly recommend you consult with your accountant since it involves accounting for changes in currency values over time, which can affect your financial statements. Remember, dealing with multiple currencies can impact your tax reporting and financial statements, so accuracy is key. Don't hesitate to seek professional advice if you're unsure about any steps in this process.

Moreover, you can read this article to have a detailed overview on how to set up and take advantage of our Multicurrency feature in QBDT: Set up and use Multicurrency.

Furthermore, you can also read this page to learn how to add a journal entry in QBDT: Create a journal entry in QuickBooks Desktop for Windows.

Whether you're transferring funds or recording exchange gains or losses, I hope this information sets you on the right path. Please know that you can circle back if you have further questions with regard to your exchange rates in QBDT. We're always here to help.
