I have paid out all accrued vacation pay and it is still showing as an available balance. Does this clear out after it clears or do I need to do an adjustment?

Hi there, @FD13. I can share with you how to fix your vacation hours in QuickBooks Desktop (QBDT).

Usually, there are several factors why vacation hours aren't accruing or calculating correctly. Here are the following:

  • The Do not accrue sick/vacation pay box is checked
  • Your employee has reached the maximum number of hours.
  • You have incorrect payroll items.
  • The sick/vacation setup of the employee is incorrect.

To isolate the issue, please make sure to review your sick and vacation hours setup as well as your employees' payroll.

  1. Go to the Employees menu, then click on the Employee Center.
  2. Select the employee's name from the Employees section.
  3. Right-click, then select Edit Employee.
  4. Click on Payroll Info, then Sick/Vacation.
  5. Review the setup from there.
  6. Repeat the same steps for other employees affected.

Once done, make sure to clear the Do not accrue sick/vacation from your employee's paycheck.

  1. Click on Employees, then Payroll Center.
  2. Go to the Pay Employees. tab
  3. Put a checkmark beside the employee's name then choose to Find Existing Paychecks.
  4. Select the right paycheck then Edit.
  5. Tap on Paycheck Detail.
  6. In the Review Paycheck window, make sure the Do not accrue sick/vacation box is unchecked.
  7. Hit Save & Next to continue creating paychecks or Save & Close.
  8. Do the same steps for other payroll entries.

Additionally, I recommend getting the latest payroll tax table update to stay compliant with paycheque calculations.

Please let me know if you have any other questions about your employee's vacation hours. I'm more than happy to provide additional assistance. Wishing you a good one!
