Hello again soraya952,

I love your initiative with figuring out the best way to enter transactions into QuickBooks Online. This helps keep things organized and prevents errors as you go along. I'll steer you in the right direction with this.

What order you enter transactions in largely depends on the bookkeeping task you're looking to complete. For instance, if you're entering invoices and payments, you'll want to enter the invoice first, then the payment. However, you can enter invoices for pretty much any time period at any given moment. To illustrate what I mean, suppose I have an invoice that I need to enter for today's date, so I do, but then I realize there's one from yesterday I forgot to put in QuickBooks. That's okay! All I'd need to do is create another and change the invoice date to what I need it to be.

There are other tasks in QuickBooks thought that require you to do things in chronological order, such as filing sales tax. Using the same example as above, if I file my sales tax today with today's date, I won't be able to go back and file sales tax for last quarter that I forgot to do.

Then there are some tasks that you may be able to do out of order, but it's best to run them in order to make sure everything is balanced the way it should be. The example I'm going to use here is payroll. With Standard Payroll, if I complete a pay run for this pay period and then realize I forgot to do one for last pay period, the program will allow me to go in and enter that previous one, but things like payroll tax calculations might appear a bit off because of it.

If you're looking for help with the order of operations while using QuickBooks features, you can start by searching here in Community. Our how-to articles give you step-by-step instructions on the way to do various things in the program. For instance, if you search "enter bills," you'll come across this article that can help with that: Enter and pay bills

For more help, I recommend touching base with the QuickBooks Online support team to share details about what tasks you're looking to complete. That way, an agent can help you figure out the best path to take in terms of how the program works. Here's how to reach that team.

If you're simply looking for bookkeeping best practices, it's best to check in with a bookkeeper or accountant. I know I went over how to connect with an accountant in QuickBooks Online using the My Accountant tab on one of your other threads, but feel free to ask more questions about that if you have them.

Wishing you the best.
