Why are my client's old Visa transactions being imported more than once in the bank feed, and how do I stop it?

Because we have auto add rules set up the reimported transactions are being duplicated in the books. This is making reconciling a nightmare as there are duplicates that are all linked to online banking matches. We are having to open and manually delete each individual duplicate.

Hello dalanouette,

 

I can definitely understand how having transactions duplicated can be rather bothersome when trying to reconcile your accounts and keep your books up to date.  You've also mentioned using the time saving QuickBooks Online Rule feature to automatically categorized transactions.  I'd be happy to provide some insight with regards to this!

 

When you link and update your Bank accounts in QuickBooks Online, we'll only bring in the most recent transactions.  I've found that anytime there's a rule applied to a transaction, when you delete it, the item will return in your list.  I'd suggest, turning off the rule and then delete the duplicates.  You can delete multiple transactions at once by clicking on all duplicate entries and then select Exclude from the box that appears at the top. Once they've been deleted, turn the rule back on.  

 

If you've disconnected your Bank from QuickBooks, you'll be given the option to select a starting date upon reconnecting.  Some banks will allow you to go back as far as 90-days.  If this is the case, ensure your selecting a date that follows the most recent transaction in your list to prevent duplication.

 

In addition, there may have been a time when you've needed to manually upload the transactions from your bank.  Prior to importing them into QuickBooks, you'll want to review the starting date on the csv file that's been uploaded and remove all transactions that are already in QuickBooks.  This will prevent any duplicate entries as well.

 

I'd also recommend reviewing your Company Settings to warn if duplicate Cheque, Bill or Journal Entry numbers are used. 

 

To do this, go to:

1.  The Gear icon in the top right of your Dashboard

2.  Account and Settings

3.  Advanced

4.  Select the Edit icon to the far right of the Other Preferences section

5.  Turn the Toggle button on for each warning option

6.  Save and then Done

 

This should resolve any duplicated transactions moving forward.
