Hello. I have a contractor who is 1099 eligible. She was married within the year, and that led to a last name change. When I run the 1099 report, they are listed as two separate contractors. The married name is under the $600 threshold so it won't let me file one. How do I combine the two so the total they were paid is accurate?

I appreciate you posting your concern here in the forum, Alisha.

I'll provide some information to help you merge contractors to help you file 1099.

In QuickBooks Desktop (QBDT), you can merge vendors once entered twice to keep your record accurate. Beforehand, proceed to the following guidelines:

  • Back up your QBDT company file.
  • Ensure to switch to "Single User" mode.
  • Clear pending accountant changes.
  • Turn off the Multicurrency feature.
  • The vendors you want to merge aren't tax authorities, tax-exempt, paid through online banking, and direct deposit vendors.

To begin with, here's how you can merge your vendors:

  1. Head to the Vendor center, then Vendors.
  2. Remember the vendor you want to merge.
  3. Locate the vendor that needs merging, then right-click on it.
  4. Select Edit and change the name of the vendor with whom you want to merge it with.
  5. Click OK, then select the Yes button once you see the confirmation screen.

However, you can manually edit the vendor name you want to keep on their profile and update the transactions to the correct name if you're using direct deposit or online banking.

On the other hand, you can also use the Merge Vendors tool if you're using the Accountant and Enterprise editions. Review this article for more details: Merge list entries in QuickBooks Desktop.
