Accountant's Copy Import Crashes QuickBooks Desktop

I created an Accountant’s Copy change file from QuickBooks Desktop 2020 that saved without any issues. When the client imported the changes, it imported for a while and then failed with a critical error that there was a corrupted transaction link and that he needed to run the Rebuild tool on the original file. He did that and it said there were no errors, but when he tried to open the new QBW file, it said that he couldn’t open the file because there was an error with the accountant’s copy.

He sent me a live copy to use to try to import the changes for him, but I had the same issue.

I reviewed the log that shows the Verify tool data and import of the Accountant’s Copy, but I don’t see any detail about which transaction link is corrupted.

I restored the original backup again and ran the Verify tool, which has no issues. I ran the File Doctor on the copy where it says that I can’t open it. It said there were no issues. There are over 400 transactions in the change file, so I really, really don’t want to have to input them all over again.

I tried all the solutions that Intuit provided and none of them worked. I also did a Google search and tried solutions from others with no luck. Since it’s QuickBooks 2020, they no longer provide support, so I can’t ask them either.

I attached the log (redacted our firm and client info).

You can see that the file is indicated as damaged. Ask Support to fix the file. Otherwise, you can ask a 3rd party service to repair it.

Hello there, @AverettPC.

I'll help you resolve the issue with importing Accountant's copy using QuickBooks Desktop 2020.

Make sure your accountant's QuickBooks version matches your QuickBooks Desktop or Enterprise version. For instance, if you're using QuickBooks Desktop Premier 2020, your accountant will need QuickBooks Desktop Accountant 2020 to access your Accountant's Copy. They can also have a version gap of one year given that the Accountant has a more recent version.

I'm also adding these two accountant's copy workflows that you can choose from:

  • Manual workflow -
    • You and your accountant can exchange Accountant's Copy file via:
      • a USB drive
      • email attachment
      • or shared through a cloud service like Box.
    • You can send back the updated version in the same way. Check out on how to create an Accountant's Copy for specific details.
  • Accountant's Copy file transfer (ACFT) workflow -
    • The ACFT service lets you and your accountant exchange Accountant's Copy files through Intuit's secure server.

If everything fails, you can still contact our Customer Care team. For unsupported version, you can still reach them with an additional cost.

Here's how:

  1. Go to Help in QuickBooks, then select QuickBooks Desktop Help/Contact Us.
  2. Select Contact Us.
  3. Give a brief description of your issue, then select Continue.
  4. Sign in to your Intuit account and choose Continue and then Continue with my account.
  • If you don't already have an account, make sure to Create a new account.
  1. We'll email you a single use code. Enter your code and select Continue.
  • If you have more than one account, select the account you want to use and then Continue.
  1. Choose to chat with us or Have us call you.

Thanks, I didn't know that I could still reach out to support for an older version.

@AverettPC

Convert your accountant's copy file to *.qbb and ask your client to restore it. Did the encounter any issue?

This won't work since they continued to work in QuickBooks while I had the accountant's copy. If they restore it, they have to reenter the work that they did.

Let's make sure everything goes out just fine when clients import the file, Averett.

It is recommended to install the latest update of QuickBooks Desktop to ensure it supports all the critical updates and fixes needed by the program.

Also, ensure to run your QuickBooks as the Administrator when following the steps outlined in this section (right-click the QuickBooks icon on your desktop and select Run as Administrator).

After that, ensure to identify if the issue is only happening in one company file. Normally, the issue is related to data damage if the error is isolated to only one file.  After you're able to determine, you can send an Accountant's Copy using a different file.

However, if the issue still persists, rename the Entitlementdatastore.ecml file. This requires you to re-register all versions of QuickBooks Desktop on your computer. Here's how:

  1. Close QuickBooks Desktop.
  2. Re-create damaged EntitlementDataStore.ecml
  3. Open QuickBooks Desktop. You should be prompted to re-register the program.
  4. Sync your license data online.
    1. From the Help menu, go to Manage My License.
    2. Select Sync License Data Online.

Moreover, if you're still experiencing the same issue, I suggest following some of the solutions found in this article. This usually fixes related issues when using Accountant File Transfer: Troubleshoot Accountant File Transfer Service Issues.

Additionally, you may sometimes find yourself experiencing errors, company files, install issues, networking errors, printing, and crashing issues. Learn how to fix them using this article: Fix Common Problems And Errors With The QuickBooks Desktop Tool Hub.

I was able to contact support and although we still couldn't get it to work, the steps that we tried did fix the QBWin.log so that actual data shows up.

However, the log shows only the Record Transaction number for each transaction and no other details. So, I can see the ones that were successful and the ones that created the corrupted link, but now I don't know how to find that specific transaction.

Does anyone know how to read this to find the transaction?

ctrans.c (5347) : CHECKPOINT: 40996: Mon Nov 13 19:47:39 Record Trans: 781

oasdkrequestprocessor.cpp (401) : CHECKPOINT: 40996: Mon Nov 13 19:47:39 returning from ProcessXMLRequest, result = 0

applyengine.cpp (321) : MESSAGE: 40996: Mon Nov 13 19:47:39 LVL_FATAL_ERROR--Could not get the apply from target.

link.c (13665) : MESSAGE: 40996: Mon Nov 13 19:48:52 LVL_SEVERE_ERROR--A corrupt transaction link has been encountered. Try to fix this problem by rebuilding your company file. If the problem persists, contact QuickBooks technical support. QuickBooks will shutdown.
