Accountant's Copy password

I am the CPA and I've received an Accountant's Copy of a file created in Desktop 2023.  I've had the file open several times and have been working in it just fine.  I opened it in 2024, which shouldn't be an issue.  Today when I tried to open a file I got the "You are accessing a feature that is not supported in the accountant's copy" error.  I ignored it since I hadn't even opened the file yet.  Then I got the set up a password screen.  The file has a password created by the client.  If I set up a new password, I won't be able to send it back to them.  I shut it all down and tried again and got the same scenario.

I probably have 2 dozen accountant's copies in house right now and this is the only one I'm having an issue with, at least so far.  Does anyone know what is happening?  I don't think I should be changing client passwords.

Let me help resolve the "You are accessing a feature that is not supported in the accountant's copy" error.

 

The error you've received while opening the Accountant's copy file is an accessibility issue. It's best to collaborate with your client to entrust you with their company password to resolve this. As their accountant, you should have accessibility permission on the same level as the Primary admin. 

 

If they can't disclose their company password, your client can consider setting up a new Admin user and creating the Accountant's copy from there to get past the error. Here are the specific steps your client can follow:

 

  1. In QuickBooks Desktop (QBDT), go to the Company menu, then select Users.
  2. Click on Set Up Users and Roles.
  3. Select New.
  4. Type a name to distinguish the new user from the original Admin user. Then, enter the current password.
  5. Set the role to Full access*. Then, click on Add.
  6. Select OK.
  7. Log out and sign in using the newly created Admin user. 
  8. In the login pop-up window, change your password to a different one. 
  9. Create another Accountant's copy.
  10. Entrust the second password to the accountant.

Thank you for the quick reply, but I think we've missed the issue.  As I stated, I have accessed the file several times with the client password, with accessibility permissions on the same level as the Primary admin.  I've been working in it for at least a week, along with several other Accountant's Copy files from teh same client.  When I tried to log back in today with the same admin credentials and the client's password, I was prompted to set up a password after receiving the access error.  So far, I am only having the issue with the one client.

And this is now the second file.  Again, I have the client password with primary administrative access.  I have previously had the file open and been working in it.  I just tried to open it as a secondary filed in QuickBooks 2024 and am being asked to "Create Complex QuickBooks Desktop Password" in the "Sensitive Data Protection Seup" screen.  And again, these are accountant copy files.  If I set up a new password, the client will no longer be able to use their password.  Both of the files I have had this issue with have been opened in 2023 and then in 2024.  Of course, I can't go back to 2023 now that they have been opened in 2024.

Why is QuickBooks asking me to create a password in an Accountant's Copy that has a password from the client?
