Adjust an existing estimate in QuickBooks Desktop Pro Plus 2024 that has had invoices issued and paid previously.

I work in QuickBooks Desktop Pro Plus and we have a client that started a single job with an estimate. Now after we have been invoicing against the estimate since August they want me to separate the work into two separate estimates and invoices. Can this be done without deleting everything and re-entering it?

Hello, @Amy M1.

 

I can suggest a way to separate the job you've created for your client into two in QuickBooks Desktop (QBDT) Pro Plus 2024 without having to delete everything. 

 

While we can't include separating the invoices of the original job for your client into two, we can create two copies of the original estimate and work on manually adding invoices from within the two estimate copies. This is because the invoices are transactions specific to the job you've created. 

 

  1. Go to Customers and select Customers Center.
  2. Select the job you've created for your client. 
  3. Double-click on the Estimate
  4. From the estimate's Main tab, click on Create a Copy
  5. Adjust the duplicate estimate to reflect only the items or services that will be part of the first job.
  6. Repeat duplicating the original estimate to reflect only the items or services that will be part of the second job.
  7. Create new invoices within the revised estimates.

 

Just a heads up, I recommend consulting with your accountant about handling the original invoices and estimate, particularly if you plan to delete them, as your client may require historical data.
