Appending uploaded file

I have a client who has an online account where he generates invoices.  His previous bookkeeper did not give me that file.  I constructed a new company file on my QBDT for Mac for his 2023 year.  The online file had prior year's, mid-2021 and all of 2022 and a few months of 2023 on it.

 

I would like to upload my file to his QB online file for that company.  How will that work?

Will there be duplicates for the 2023 entries?  Will my file, upon upload, erase the prior entries already in the file or will it append to what's there?  If I have a customer list with different information, for instance, addresses where she had none or vice versa, how will that be treated upon upload?

Hi there, Susan. Thank you for reaching out to the Community. I'd be glad to provide some steps on how to move your files from QBDT Mac to QBO.

 

Here's how:

 

  1. Sign in to your QuickBooks Desktop file as the admin.
  2. Select File, Export, and then To QuickBooks Online.
  3. Click Get started. Tick Export all your company file data or Export specific data.
  4. If you use inventory, you can choose whether you want to move inventory or not.
  5. If you already have a QuickBooks Online account hit Yes, sign me in, and enter the credentials.
  6. If you don't have a QuickBooks Online account, click No, I need to create a new one and create a new account.
  7. Choose the QuickBooks Online company to move your data to, then select Continue.

 

Please know, that when you start migrating, your QBDT data will replace the existing data in QBO.

 

I'll leave this article for you to have detailed steps on how to move your files from QuickBooks Desktop for Mac to QuickBooks Online.

You can purchase a third party service just to migrate data from your QB Desktop file to their existing QBO account.

That really doesn't answer my question.  Are you saying I need to go to a third party vendor in order to have my questions answered?

You're using QB Desktop for Mac, correct? The problem is that none of the migration tools support this edition. If you prefer to go the extra mile to avoid third-party solutions, you may consider the following steps:

1. Find a Windows machine and convert your data from the existing QBO account to QB Desktop

2. Convert and open the QB Desktop file on your Mac.

3. Migrate the 2023 data from your QB Desktop file to another file.

4. Convert the merged QB Desktop file to a new QBO account.

 

Otherwise, you should reconsider purchase a 3rd party migration service as I mentioned.

Hello RhoiceW -  The salient feature of what you had to say is the piece about the replacement of the existing data.  This lets me know that an append does not take place.  

 

I'm going to follow 4Gal's advice about migrating and merging data on a PC version of QB.  I hope to be able to gather the previous data kept on QBO prior to 2023 and bring it into my desktop file which only has 2023 data.  After this is done, I can then upload the completed file to QBO which will replace the current online file.
