Asking for a deposit

We own a machine shop that provides parts to manufacturing companies and engineering firms. Several of our customers we bill for smaller amounts ($100-2,500) but we have a few who send us huge RFQ's that we send out estimates for ($8,000 on up) where they in turn send us a PO for. Up until now we haven't asked for any kind of deposits toward the work being done as we've only been in business for about a year and were trying to build up our clientele. Now that we have several repeat customers and are getting bigger projects, I want to change this.

Is there a way to set a reminder automatically in QB to ask customers for a deposit toward their total when we sending out estimates only if the estimate is over a certain dollar amount. For example if we send out an estimate for over $5000 is there a way to auto add a "deposit required" memo vs sending out an estimate for one $500 and not asking for a deposit? 

Hope this isn't a confusing ask.

Implementing an automated reminder in QuickBooks Online to prompt customers for a deposit exceeding a specific dollar amount is an excellent idea. However, I regret to inform you that this functionality is unavailable within the software. 

 

I encourage submitting a feature request for an auto reminder asking customers for a deposit when sending estimates directly to our development team. They actively consider customer suggestions when planning future updates and enhancements to QuickBooks.

 

Here's how:

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Enter your comments or product suggestions. Then select Next to submit feedback.

 

We value your input in determining the priority and implementing features that cater to our users' needs.

 

You can also consider looking for a third-party app that lets you do the tasks and integrate with QBO. To be guided on what app to use, go to the Apps menu in your QBO account or visit the App Center and browse for an app that suits your business needs.
