Thanks for posting here in the Community. Let me help you further regarding printing your W-3 to send to the insurance inside QuickBooks Online (QBO).

If your insurance provider has requested a copy of the W-3 form for compliance purposes, you can print a copy of the form and send it to them. It is essential to send an accurate and explicit copy of the original form to avoid issues. To have a guide on how to print it, I'll leave a steps below on how:

  1. Go to Taxes and click Payroll Tax, then click Filings.
  2. Select Resources and W-2s.
  3. See the list of employees who opted for a printed copy.
  4. If your automated tax and form settings are off, please review your Form W-2 print settings. Click the Change setting option to modify the paper type if needed.
  5. Select View or Manage the copy you need:
  • W-3 Summary Transmittal of Wage and Tax Statements
  • W-2, Copies B, C & 2 (employee)
  • W-2, Copies A & D (employer)

        6. Click View and Print, then click the Print icon on the Adobe Reader toolbar and hit Print.
