Can I use Quickbooks online to efile 1099s with the IRS, but print & mail recipient copies myself?

Yes, as long as you have a payroll subscription, you can use QuickBooks Online to e-file 1099s with the IRS. When you file the forms with our service, we will be the ones to mail them to your contractors. However, you also have the option to print and send recipient copies yourself.

 

In addition, you have the option to use the regular QuickBooks Online version to prepare for the 1099 form. However, you'll need to file it manually to the IRS if you choose to do so. This will allow you to print copies for your records. I can guide you through the steps on how to accurately create the 1099 form.

 

  1. Go to Payroll, and select Contractor. 
  2. Choose Prepare 1099s.
  3. Ensure your company information, such as name, email, address, and tax ID, is accurate and matches IRS notices or letters. Click Edit to make any necessary changes.
  4. Select Confirm info and get started. 
  5. Choose Select accounts and choose or confirm the accounts used for 1099 expenses or payment, then click Add.
  6. For each account added, select the appropriate 1099-NEC or 1099-MISC box based on the type of payment made to your contractors this year. Select Next.
  7. On the Tracked for 1099 tab, check the contractors who need a 1099. Ensure their info and emails are correct. Hit Edit if necessary.
  8. If a contractor is missing, choose the Not Tracked for 1099 option. Choose the Add to Tracked list to add them to Tracked for 1099 and select Back.
  9. Review the Reportable table amount for each contractor selected and click Next. 
  10. Hit Preview to view each of your 1099 and review the amount in each box. After review, select Continue to 1099-MISCx to view your 1099-MISC forms. Select Next. 
  11. If you're subscribed to a payroll service you can click Continue to E-file to e-file your 1099s.

 

Once done e-filling, you can print your forms by following these steps: 

 

  1. Go to Taxes, then select 1099 fillings.
  2. Choose View 1099 to view a PDF copy.
