Can't add time charges to open invoice

Since a very recent update, we are now unable to add time charges (from QuickBooks Time) to an open invoice. I called support and they said that feature was removed from the new QBO interface but could not explain why. They said to send two invoices instead. Why would QuickBooks remove this time-saving feature???

I can see how the recent update has impacted your workflow, @ebricks. The ability to add time charges directly to an open invoice was indeed a valuable feature. You'll be glad to know that your goal is still possible. 

 

Please ensure you've selected the Billable option for the time charged to appear in the Suggested Transactions.

 

First, let's verify if the billable expense feature is turned on. Here's how: 

 

  1. Head to the Gear icon, then select Account and Settings.
  2. Click the Expenses tab.
  3. Select the Bills and Expenses section to expand it, and check if the Make expenses and items billable is on.
  4. Hit Save and then Done.
     

 

Afterward, check if you've billed your customer for the time charges. Once confirmed, let's open an existing invoice to add it.

 

  1. Go to the Sales menu, then Invoices.
  2. Open an invoice, and click Manage.
  3. Choose the Suggestions dropdown.
  4. Select the Suggested transactions.  
  5. You'll see all the available time charges.
  6. Add them one by one, then Save.
     


Moreover, to maintain accurate and up-to-date financial records, 
record any payments received so your invoices will be marked as paid.


While the interface has changed, your goal of adding time charges is still achievable. If you have any other concerns or questions, I'm always here to help.

To add to this, i am having the same issue. However the invoice was already paid for and our vendor sent us a bill afterwards. The "suggested transactions" is not showing up even though everything else was done the same way. the bill is dated for when it was processed which was prior to the invoice (i.e. invoice is only 1 month old while the bill is 2 months old). I am having this issue on several invoices

You can add time entries to an invoice regardless of its status, provided that the time entry is linked to the appropriate customer/project and has been marked as billable.

 

Since you've confirmed that you followed the steps provided by my colleague above, the reason they are not showing in the Suggested transactions is a possible browser issue. Browsers use cache to speed up the loading of web pages, but over time, it accumulates and leads to unusual behavior of the program.

 

To fix this, log in to your QBO account using an incognito or private browser window. This will enable you to work with a clean slate. Please use these keyboard shortcuts:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Shift + N

 

Then, add the billable time charges again. If it's successful, clear your browser's cache to remove specific issues and help the program run efficiently. Also, you can use other devices and supported browsers to ensure everything works as expected. 

 

Additionally, you can create and send customer statements to remind them of their upcoming deadlines.
