Cannot recategorize expense - certain expense accounts not showing in dropdown

Hello, 

I am trying to recategorize a number of expenses.  When I open the expense and click the account dropdown, I only see half of my expense accounts (and not the ones I need!).  The expense accounts are showing in my Chart of Accounts and other expenses have been assigned to them.  I have tried clearing the cache on my browser and using a different browser (per some suggestions), but no change.  I am wondering if I have somehow made these accounts invisible or inactive, or if the accounts themselves are somehow mislabeled.  They show as expense accounts in the general ledger.

Hello there, @Baja. Let's get you out of this situation so you can recategorize expenses inside your QuickBooks Online (QBO) company.

 

Before we dig deeper into this, let's ensure to locate those expense accounts inside your Chart of accounts. In QBO, if you don't see certain business accounts in your COA, they may be inactive, causing them to not show in the list of business accounts available inside your company file. 

 

To rule out the possibility of having inactive accounts, you'll want to set your Chart of accounts to show those inactive. I'll write down the steps below to get you going. To begin, these are the steps:

 

  1. Access your QuickBooks Online company.
  2. On the left navigational bar, go to the Accounting tab and then choose Chart of accounts.
  3. Beside the Printer icon, click the Gear icon.
  4. In the Other section, tick the box beside the Include inactive.

 

Doing this lets you check if you have accounts inactive inside your COA. If the issue persists, I recommend contacting our Customer Care Team. This way, they can check and determine why this occurs on your end. Refer to this article for further details: QuickBooks Online Support.
