Let me help you change the print settings when printing your W-2 form, eziel.

We have the option to change the print settings in the Form W-2 print setting page. Just click the Change setting tab to change the paper type if needed. Here's how:

  1. Go to Taxes, then Payroll tax (Take me there) .
  2. Choose Filings.
  3. Select Resources, then W-2s.
  4. Review the list of employees who opted for a printed copy. W-2s won’t print for employees that selected paperless. They can print their copy from QuickBooks Workforce if needed.
  5. If your automated taxes and forms setting is Off: review your Form W-2 print setting. Click Change setting to change the paper type if needed.
  6. Select View or Manage on the copy you need.
  7. Tap View and print.
  8. Press the Print icon on the Adobe Reader toolbar, then press Print.

In addition, you can always utilize this guide to help you in printing the W-2 forms in QBO: Learn all about printing your W-2 forms with your payroll service. Aside from that, it would also be best to update Adobe Reader/Acrobat to the latest version or repair your Adobe installation. This fixes most printing problems in QuickBooks Online.

If the same thing happens, we can log in to your account using an incognito browser. Private browser prevents saving cache and cookies that sometimes cause errors when running frequently visited websites. Here are the useful shortcut keys you can use to access one:

  • Ctrl+ Shift + N for Google Chrome
  • Ctrl + Shift + P for Mozilla Firefox and Microsoft Edge
  • Command + Shift + N for Safari

Then, try printing the payroll form again. If it works, return to your default browser and clear its cache. Every so often the cache becomes overwhelmed with older data which can potentially cause viewing and performance issues. Clearing it will refresh the system, and you'll be able to work with a clean slate. Switching to another compatible one to help rectify the issue.
