Question

Class fields now missing from invoices

A recent update has made it so that class fields are no longer included on our invoices. They show as hidden when drafting the invoice but cannot be unhidden when printing/sending the invoice. Has anyone found a workaround to this? Our consultants names show up in the class field and our clients require this information.

Thank you for contacting us about the updated class fields in QuickBooks Online (QBO). I'm here to provide you with detailed information to ensure your query is addressed effectively to your satisfaction.

If you're referring to the class column that appears when you create an invoice and would like it to remain hidden when printing, you can easily adjust the settings to turn it off. For more details about the process, I've added this resource: Customize invoices, estimates, and sales receipts in QuickBooks Online. Please take a moment to review here.

On the other hand, if you're referring to the Class field hidden in the invoices, it should remain unseen when you print and send them to your clients.

You mentioned that the Class field appears when you print an invoice, which isn't what you intended. Let us go through a PDF troubleshooting process together to fix this issue. Printing issues encountered in QuickBooks Online can be fixed by updating your Adobe Reader/Acrobat to the most recent version or repairing your current Adobe installation.

If you encounter any issues with printing the document, you can consider updating, repairing, or reinstalling Adobe Reader. After completing these steps, return and start over.

Additionally, here's an article you can browse just in case you're having trouble printing in Windows that can be handy for you moving forward: Troubleshooting printing in Windows.

It's actually the opposite--I need the class field to appear when printing but it does not appear as of the most recent QBO update. We want the class field to show on our invoices. Thanks.

Directly printing an invoice with the class field is currently unavailable, Sarah. However, I have the perfect workaround to help us achieve this.

Firstly, please note that the Class field is an internal reporting tag, and thus, we can't print an invoice with it directly.

As a workaround, you can create another column for your invoice using the Custom Field feature in QuickBooks Online Advanced. If you are not using QuickBooks Online Advanced, you may want to consider upgrading to access this feature.

Here's how:

  1. Navigate to the Gear icon, then select Custom Fields.
  2. Click Add Field, then enter a Name.
  3. In the Data Type drop-down, choose Text and Number.
  4. Select Transactions in the Category section.
  5. Tick the Invoice box, then click the Print on Form.

I've added this video for your visual reference:

If you prefer a more direct way to address this, I recommend submitting feedback to our product engineers to consider this feature for future updates.

Allow me to guide you through the process:

  1. Go to the Gear icon, located at the top right corner.
  2. Select Feedback.
  3. Enter your suggestions/comments and click Submit.
