Closing business, exporting from QB Online to QB Desktop format for records: What happens to the receipts?

Hello, I'm closing a business and downloading the data for my records.  When I export a file from QB Online as a QB Desktop format file, do the receipts that I manually attached to all my expenses also export?  We have used this system for years to track all our receipts for all company expenses, and I'm worried about losing the data.  Please advise.

Thanks for posting here in Community, annmarie2020.

I understand how important keeping your manually downloaded receipts in QuickBooks Online (QBO). However, we don't have the option of exporting expenses with attached receipts is unavailable.

In the meantime, we can refer you to a third-party application that could help you to export expenses. Here's how:

  1. Go to the Apps menu in your QBO account.
  2.  Select Find apps.
  3. From there, you can browse an application that'll export expenses with attached receipts.

 Also, you can check this article to learn how to download the latest QuickBooks Desktop with your subscription: Manage your QuickBooks Desktop subscriptions and services

I'll be around if you need help or have other questions about exporting your receipts in QBO. Please don't hesitate to comment below. Take care.

Thank you for your reply.  I've been browsing through the apps and I don't see one specifically with this functionality.  Can you point me in the direction of which app I should consider/ review? - Please advise, Ann

Hi there, Annmarie2020.

I appreciate you posting further inquiries regarding keeping the receipts attached to expenses in your QuickBooks Online and then exporting them to QuickBooks Desktop file format.

However, since the Community is a public forum, we can't suggest or advise a specific app for you to use during this time. Nevertheless, you can use keywords such as receipts or expense receipts when searching for an app in the App feature in your QuickBooks Online account. I also suggest looking at other sources like Google or Safari.

You can also scan this QuickBooks website that entails different apps you can sync to your QuickBooks Online account: QuickBooks Integration.

Once you have found the right app, follow the steps provided by my colleague above to integrate it into your QuickBooks Online account.

I hope this response post finds you well. Just leave a comment below if you have more questions regarding exporting your receipts in QBO. I'll make sure to address them as soon as I can. Have a great day ahead!

@annmarie2020

Converting the data to a QB Desktop file will not be sufficient for your case. Consider re-subscribing your QBO account once every 12 months to preserve your historical data.
