Connecting a mileage charge to an invoice

The purpose of the mileage function in QBO is to keep track of trips and vehicle information throughout the year so you have everything you need to make deductions at tax time.

Since you want to invoice the cost you've paid for travel per mile, you'll want to consider utilizing our billable expense feature if you're using the QBO Plus or Advanced versions to invoice the expenses incurred to your customers. To do this, you can create the expense account specifically for tracking mileage expenses that you'll reimburse to your clients. To begin recording, we have two different ways to do it.

If you want to manual calculate mileage, here's how:

1. Click +New, and choose Expense.
2. From the Category section, choose the expense account you've created.
3. Manually calculate the mileage (e.g., 30 miles x $0.58 per mile = $17.40) from the Amount box.
4. Select Save & Close once done.

On the other hand, follow these steps to create a non-inventory item (e.g., Manual mileage) to track the quantity:

1. Go to the Gear icon and select Products and Services.
2. Choose Non-Inventory item.
3. From the Sales price/rate field, enter the cost you paid per mile.
4. Enter the Income account you want the item to track.
5. Tick the check mark for I purchase this product/service from a vendor box.
6. Choose the Expense account you've created.
7. Click Save & Close once done.
