dialog box 'adminstrator permissions required'

We are running QB Enterprise on a hosted server.  Our users see the dialog box below periodically and after it appears, nobody can log into QuickBooks.  The message is annoying, ineffective and misleading:

 

1. 'This action...'? What action?  We left to ASSUME even, that it is QuickBooks that fired the message.  Precisely what is it within QuickBooks that is triggering this message? 

2. The message says 'Windows administrator' permissions are required, but it invariably, that message box fires even if the server admin is logged on to the server and already running QuickBooks.

3. When the server admin logs in to the QuickBooks admin account, the users may then log in, which suggests the reference to Windows administrator is a red herring and some process in fact requires QuickBooks administrator privileges.

 

What is so important that half a dozen people have to sit around waiting for the administrator to log in and why, after the admin logs in, doesn't QuickBooks fire an informational message saying that "X process has completed and the other users may now log in".

I'd like to offer some insight into your concern about the dialog box administrator permissions required in QuickBooks Desktop (QBDT).

 

First, make sure that the access folder is set to multi-user mode and that they have the correct Windows permissions. To see the summary of the restrictions set up for a user profile, select the user and then choose View User.

 

To verify that permission is set correctly, here's how:

 

  1. Open the Windows Start menu and then open File Explorer.
  2. Right-click on the folder that contains the company file, then select Properties.
  3. In the Properties window, go to the Security tab and select Advanced.
  4. Choose QBDataServiceUserXX and click Edit.
  5. Set the following settings to Allowed:
     
    • Traverse Folder/Execute File
    • List Folder/Read Data
    • Read Attributes
    • Read Extended Attributes
    • Create Files/Write Data
    • Create Folders/Append Data
    • Write Attributes
    • Write Extended Attributes
    • Read Permissions

 

If your permission isn’t correctly set:

 

  1. Right-click the folder that contains the company file and select Properties.
  2. Select Security, then Edit.
  3. Choose QBDataServiceUserXX and select Full Control, then Allow.
  4. Select Apply, then OK.

6. Change folder permissions.

7. Set Windows access permissions to share company files.

Furthermore, please check user Account Control (UAC) and adjust the Folder and File Permissions to seamlessly perform the task.

 

  • Ensure that User Account Control is enabled.
  • Search for “UAC” in the Start menu and verify that it’s set to an appropriate level (recommended is the default setting).
  • If it’s turned off, consider turning it on.
  • If you have issues with specific company files or folders, check and modify their permissions.
  • Right-click on the folder containing your QuickBooks company files and select Properties.
  • Navigate to the “Security” tab and review the permissions.
  • Add your user account with Full Control if it’s not listed.


In addition, it is recommended to have your IT check your computer to ensure that components are reliably tested and validated.

Thanks for your quick response ShaniamarieC.

 

Permissions are as recommended in the article you shared and the hosting company is Intuit's partner - Summit Hosting, so I imagine they've got UAC set up properly.

 

The problem is frequent enough to be annoying, but not constant as I would expect if there was a permissions problem.

 

Any other suggestions, or response to the specific questions I asked?

I recommend reaching out to Summit Hosting customer service. Since your QuickBooks software is hosted by them, they have the necessary tools and expertise to assess your account, especially to fix the permissions required when logging in.
