Does a W-9 form have to be completed by a contractor (or attached to their vendor account in QB) to file and print a 1099?

Thanks for bringing this to my attention, @thepoolshopplain. I've got the steps to record the W-9 information in QuickBooks Online (QBO).

 

In QuickBooks, you can allow your contractors to fill out the necessary information and submit their 1099 tax info when you invite them. You can refer to the image below: 


 

However, since you already have the contractor added to your account but don't have the tax info yet, you can manually enter the contractor's 1099 info on their behalf. You just have to ensure that you have their info so you can proceed with the process. Here are the steps for your reference:

 

  1. Click Expenses, then select Vendors.
  2. Select the contractor's profile you want to edit, then click Edit.
  3. Enter the necessary information.
  4. In the Additional info section, enter the Business ID No./ Social Security No.
  5. Once done, click Save.


Moreover, you can create and file your contractor 1099 using QuickBooks.
