Download of QuickBooks Online history when closing account

We have a few clients closing their doors this year - obviously, we don't want to keep the QBO files up and running for the foreseeable future, but want to ensure we have as much data backed up as possible.

The Excel export of a single giant general ledger isn't ideal, since we are talking 7+ years of history.

I'm unable to get the QBO to QBDesktop export to work at this point, since it requires a legacy browser that I can't get to work with QBO anyways.

Are there any services that will create a downloadable backup? Or anyone providing a long-term file storage solution for QBO files that are no longer active?

Alternately - if there is a good way to download full history, I'd be glad to hear it ....

Hi @BHCOMattS.

Let me share additional info about the backup files in QuickBooks Online Advanced.

When you use the app that will back up your client data, it will remain on the location that you save the backup copies of the company, like, for example, storing it in Google Drive.

Although when you close the books and canceled the account, the backup copy that you saved will remain in the location as long as you've stored it in a safe and secure place. Just a heads up, make sure to create the copy before canceling the account. This way, the data is assured correct when saved.

And when it's time to use the backup copies, you can restore it seamlessly. You can review the details through this video article: Back up and restore your QuickBooks Online Advanced company.

Additionally, you can check this article for more details about our data availability and export policies before canceling your client's account: What happens to my QuickBooks Online data after I cancel?.

Hi there, @BHCOMattS.

Yes, you can create a backup of your company file in QuickBooks Online (QBO). However, this feature is only available for Advanced subscription. Here's how:

  1. Go to Settings ⚙ and select Back up company.
  2. Click Add company from the Home menu.
  3. Choose the company from the Search for a company or firm drop-down list and click Next.
  4. Select Connect.

However, if your clients are using a different subscription. I recommend checking for an available app in the Apps center that will back up their company file. Just log in to QBO and click Apps. Then, look for an application in the Search bar.

In case you need to restore your backed up company file, just follow the steps in this article: Restore your accounting data.

Don't hesitate to tag my name in the comment section below if you have other concerns or questions. I'm always ready to help.

But - how long would the backups live if we canceled the account? If I drop a client from my billing and close their books, would the backup still remain? Ideally, we're looking for a solution that I wouldn't be paying for every month ...

@BHCOMattS

Send a private message to us. We may consider offering you a small cost to convert the data to QBW.
