I need to enter a social security number for an inactive employee so I can clear a payroll error, however, the system keeps saying incorrect social security number and it won't let me delete the employee either!

I want to ensure you can add employees' Social Security Number (SSN) in QuickBooks Online, Cocodifre.

 

First, verify the SSN's accuracy with the IRS, then check for duplicate SSNs in QuickBooks for the inactive employee.

 

If everything is correct, we can also clear your browser's cache and cookies to resolve any issues caused by accumulated historical data. First, let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

 

  • Chrome: Ctrl + Shift + N
  • Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N

 

Once done, add the SSN again. If it works, switch back to your regular browser. Then, clear its cache. This way, you can access QuickBooks with a clean slate. You can also use a different supported one.

Furthermore, the program won't allow the deletion of inactive employees if you already run payroll with them. It's to maintain accurate records and comply with tax regulations.

Hi Maybelle,

 

There is not even a view/edit button next to the social security number fields on the two I am attempting to fix.

 

I did the incognito and cleared the cache and it still is not working.

 

I hope you can help me get this fixed soon.

I appreciate you trying the browser troubleshooting steps provided by my colleague. Since the issue persists, allow me to share additional information about modifying employee information in the QuickBooks Online Payroll account.

 

To be able to make some changes to employee information, you need to have an admin access.

 

If you are logged in as an admin but cannot see the View/Edit button beside the Social Security Number box, I recommend contacting the Customer Care team. They will be able to help you check the cause of this issue.

 

Here's how:

 

  1. Sign in to your QuickBooks Online company.
  2. Click Help (?).
  3. Select the Assistant tab to get started and get quick, personalized answers. Choose a suggested option or type a question or topic you need help with. If you need further help, you can still Talk to a human. You can then choose a way to connect with us:
  • Start a chat with a support expert.
  • Get a callback from the next available expert.
