Entering Project Fees

Managing a large number of projects can be challenging, Ray. We can create a service item for the fee and use the estimate feature to track the charges for your projects. I'll also provide the report you need to see its status and a workaround to help you streamline this process. 

To create a service item for the fee, follow these steps:

1. Go to the Sales menu. Click Products & services.
2. Pick New, then choose Service.
3. In the Name field, enter the name of the service. (Ex. Project Fee)
4. Select the account you'd use to track the processing fees.
5. After completing all details, Save and Close.
    

Next, we need to enable progress invoicing so you can split an estimate into multiple invoices as necessary:

1. Head to the Gear icon, then Account and Settings.
2. Click Sales, then look for the Progress Invoicing.
3. Tick the radio button to enable it.
4. Press Save and Done.

Afterward, let's turn on the estimate summary setting on the template you want to use for progress invoicing:

1. Go to the Gear icon, then select Custom form styles.
2. On the template you use for progress invoicing, click Edit.
3. Select the Content tab, then select the edit icon on the third section of the form.
4. Tick the Estimate summary checkbox, then hit Done.

Once done, let's create a project estimate and add the fee as a line item: 

1. Head to the Projects menu, then select Estimate on the Add to Project dropdown.
2. From the Product or Service dropdown, pick the fee you created.
3. Select Manage, then head to the Pending area. Change its status to Accepted.
4. Hit Convert to Invoice, then Yes.
5. Tap Create Invoice.
6. On the Invoice page, go to the Due area.
7. Set the amount you'll charge the customer, then Save.

To check the project's status and see the remaining fees that need to be invoiced, we can run the Estimates & progress invoicing summary by project report if you're using the Advanced version.

Here's how you can do it:

1. On the Projects page, choose your preferred project.
2. Click Project Reports and scroll down to View the Estimates & progress invoicing summary by project.
    

If you're using the other versions, we can pull up the Estimates & Progress Invoicing Summary by Customer report and customize it to display the projects. Please see the attached screenshot for visual reference.
