Hello there, @jpsdennis. I'll share some steps to help you take account of the unpaid bill in QuickBooks Online (QBO).

In QBO, you can create a journal entry to write of the vendor balance cause of an unpaid bill. Here's how:

  1. Select the +New button and choose Journal entry.
  2. In the first row, select Accounts Payable under the Account column. Then, choose the name of the vendor in the Name field and enter the amount of the unpaid bill in the Debit column.
  3. Next, in the second line, select the Offset account (if you haven't created one, you can follow this article to set up your offset account) under Account column. Then, enter the same amount in the Credit column.
  4. Once done, select Save and close.

When finished, this will become credit to that vendor where you can apply as payment to the bill. I'll guide you on how:

  1. Go to the +New menu and select Pay bills.
  2. Look for the name of the vendor where the unpaid bill is allocated and check the box.
  3. The available credits will automatically populate in the Credit Applied column. Ensure that it is the same with the payment you need to apply to the unpaid bill.
  4. Select Save when done.

However, before performing the steps provided above, I still recommend getting in touch with your accountant for further guidance. This is to ensure you'll able to account the transactions accurately. If you're not affiliated with one, you can use our Find an Accountant tool to look for one near you.

You can also run a report to view all money you paid to a vendor for a specific period. For detailed steps, read this article: Run a report with vendor totals.
