How can I print 2022 W2s? I am on the Archived Forms page, I can select the W-2 option, but it does not have a Print option

Hi, Stacey. I'll gladly walk you through how to print your W2 forms in QuickBooks Online (QBO). 

 

When printing W2 forms, you have to view them so you'll be directed to a new tab where you have the option to print the form. I'll show you how.

 

  1. Go to Taxes, then Payroll Tax.
  2. From the Archived forms section, select the date range you need, or search the forms you need.
  3. Select View on the W-2 form you want to print. The sample below is a 941 form.


     
  4. Select the print icon on the Reader toolbar. Then select Print again.

Moreover, you can also pull up a variety of payroll reports in QuickBooks. This will give you a closer look at your employee's total wages, deductions, and tax information in a certain period. There is no option to "view" on archived forms.

Missing features are sometimes caused by browser-related issues. Please know that online platform like QBO uses browser cache to run faster. However, they can be corrupted, which can affect program functionalities and lead to unusual behavior like this.

 

You can open your account in an incognito or private window to verify. Incognito Mode is an online privacy feature that prevents your browsing history from being stored. This mode lets applications run smoothly without any data damage.


Check out the shortcut keys below for quick navigation:

 

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P


Once logged in, go to your Archive forms section. If the View option is now accessible, get back to your main browser and clear its cache. You can also utilize other supported browsers as an alternative.


On the other hand, if the option still isn't available, you'll want to ensure you have the necessary permission to access it.
