How can I update the phone number of an already created user?

Hello, we changed internal accountants. I deleted the username to update the profile for that email, which is now used by someone else. But when the new internal accountant tries to register it, the information for the other person, who is no longer with the company, is still there. What do we do?

The only person who can update the phone number is the user himself, Maria. Each user has a specific Intuit account that allows them to change their phone number. Let me provide you with steps and details to resolve this further.

 

The details we find in the Company settings are not the actual phone number and email address we used to get notified from verification messages. The General Info from there is used in all the places your business shows up and can't be used for account notifications unless the new accountant is the Primary admin.

 

Also, you've mentioned that the user has been deleted. Were you able to delete the user from the Manage Users window's Accounting Firms tab? Have you reviewed the Role you have in the Users tab? Take note that if the previous accountant has the Primary admin rights, this means that even if you delete the user from the Manage users' Users or Accounting Firms tab, the accountant's phone number and email address will remain as the point of notifications.

 

To resolve this, if you can contact the previous accountant, I suggest requesting them to transfer the master or primary admin's rights. After doing this, it leaves the QuickBooks account in a cancelled state, which means you'll have to resubscribe and enter your billing credentials to keep the account active.

 

Once all is good, you can invite your new internal accountant to manage your QuickBooks Online (QBO) account and give the Primary Admin access to them if you want be billed by them. Feel free to read this article for more guidance: Add accountant users in QuickBooks Online.

 

If you are no longer in touch with the previous accountant, you can request to be the primary admin or contact. After reading the details, click the Request Primary Administrator Update button and complete the prompts.

 

This will lead your new accountant to access and get notifications from your QBO account. Also, any users who have access to the account can change their phone numbers and email to get notified by following these steps:

 

  1. Login to QuickBooks Online.
  2. Click the Letter icon beside the Settings/Cogwheel.
  3. Select Manage your Intuit Account.
  4. It will prompt you to enter a code or password.
  5. Go to Sign in & Security.
  6. Click the Phone section and hit Change. 



  7. Enter the code you received from your mobile number.
  8. Hit Continue and follow further prompts until you save the phone number.
