Question

How do I clear an old payment from a previous year that was a duplicate?

There are three Tax payments that a previous user entered in a manual tax payment entry and reconciled that one instead of the program initiated tax payment.  So my cash is out of balance but I  cannot credit the Expense and it was in a previous fiscal year.

Hi there, @jakeybg. Let me share some information and steps regarding deleting or canceling tax payments.

In QuickBooks, it is important to know that you can delete a payment if:

  •  It’s manually recorded (non-electronic payments).
  • It hasn't been processed electronically.
  • The date of your federal payment is at least two banking days before the payment date, before 5 PM PST.
  • The date of your state payment is before the lead time (state lead times vary).

Since you manually record the tax payment, you can follow these steps :

  1. Go to Taxes located on your left navigation panel.
  2. Hit the Payroll tax tab.
  3. Click Payment History.
  4. Choose the tax payment you want to delete. You can also change the date if you want to.
  5. From the Edit dropdown, click Delete. If don't see the delete option, I recommend contacting our payroll support.
  6. Press Yes to confirm.

You can also visit this article if you want to dig deeper about canceling a tax payment or form filing in QuickBooks Online: Cancel or delete payroll tax payments and forms.

Additionally, you can also pay and file payroll taxes and forms electronically in QuickBooks Online Payroll if you want to pay and file your 941, 944, 943, 940, state, and local taxes using QuickBooks e-pay and e-file.

The payments are from a previous fiscal year. If I delete the payments it will credit back this years expenses. How can I get remove these from my reconciliation, add the amounts back to cash without touching this years expenses.

Hi there, Jake.

When we delete duplicate tax payments made from last year, we also need to fix the reconciliation from the previous year. This way, we can have an organized book.

The deleted transactions will revert to the year you made the changes, in this case, the current year.

In matters like deleting tax payments from the previously reconciled fiscal year, I'd recommend seeking assistance from a financial professional who has the necessary knowledge to resolve such queries.

In addition, I've added this article about the different options to pay and file your 941, 944, 943, state, and local taxes using QuickBooks: Set up QuickBooks Online Payroll to pay and file your payroll taxes and forms
