Question

How do I keep QBO simple and for my business side only?

I am new to QBO. I would appreciate any help!  We run a small landscape company but I already use a program for that to dispatch, invoice, etc.....but that is the customer side of things.  I set up QBO to have a business side of things to enter in deposits, bills, taxes, etc....( we have an accountant that does our payroll) but the program we use has transferred all the customers over and made invoices, etc....I feel like it is making it look like we receive more money then we do and I just wanted QBO, like I said...for the business side only.  At this point I am trying to clean up my quickbooks and void all the invoices and payments it brings over since QBO is already bringing over my bank info and deposits.  Am I messing things up more?  Is it possible to not have the "Jobber" program we use to carry over all the individual customer info without affecting the overall idea of QBO?

Thank you for reaching out to our vibrant Community forum with your question about keeping QuickBooks Online (QBO) simple and focused on your business side, @Rivers HS. I appreciate your trust in our platform and I'm here to assist you.

As a new user of QBO, it's understandable that you may have concerns about integrating your existing program for customer management with QBO.  You've mentioned that you already use a program for dispatching, invoicing, and other customer-related tasks specific to your small landscape company. However, you would like to utilize QBO solely for managing your business finances, such as entering deposits, bills, and taxes.

To address your concern, we can match the imported transactions by Jobber to the ones being automatically brought by QuickBooks Online. This is a process in QuickBooks where a downloaded transaction is identified and linked to an existing entry, such as an invoice, bill, receipt, or payment. This connection prevents duplicate entries from being created.

Here's how:

  1. Go to the Banking menu then select Banking.
  2. Choose the tile for the account you want to review.
  3. Select the For review tab to start your review.
  4. Click and find the downloaded transaction to open the details.
  5. Select the Find match button or the Find other matches option.
  6. In the Match transactions page, filter to only show Deposits and set the From and To dates.
  7. Manually select all the deposits that match the downloaded transaction.
  8. Click Save.

If the transactions can't find a match, you can exclude them.

Additionally, I have provided you with an article that will assist you in understanding the process of utilizing bank rules to automatically classify transactions from your bank, ensuring they are allocated to the appropriate accounts: Set up bank rules to categorize online banking transactions in QuickBooks Online.
