How do I print archived payroll tax forms? I can see all of the info about when it was filed but nothing that allows me to view and print the form.

I am in the Archived forms and can see the form name and dates it was transmitted, accepted and archived but no way to view and print the actual form itself. Specifically I am trying to view past 941 forms. But none of the forms are available to view and print

Hi there, @rhiannon.

 

Let me walk you through the process of printing your archived payroll tax forms. 

 

To view your Form 941. Please make sure to select the correct filter.

 

Here's how:

 

  1. Go to Taxes, then Payroll Tax.
  2. Under Forms, select Quarterly Forms or View and Print Archived Forms to see the archive forms from prior periods.
  3. Tap the 941 link.
  4. Click Preview. You can either download the form in PDF format or print it.

 

See the screenshot below for your reference. 

 

However, if you can't still view the form even if you selected the correct filter. Let's try printing the for using a private browser. Doing this will help us determine if the issue is browser related.

 

Here are the different keyboard shortcuts to open a private browser:

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

 

If it works fine, you can go back to your regular browser and clear its cache. Please follow the outlined steps in this article depending on the browser you're using: How do I clear my browser cache and temporary Internet files?

Thank you for your response. I actually figured out it was once again an issue with using Safari. Once I logged into Chrome it worked fine. Thank you again.

I had the same problem.  Turns out if you are signed on as an Accountant, you cannot see any of the data only that it has been accepted etc.  When I signed on as the Owner of the company, I was able to see and print it all.  I really think that as the Accountant, this information should be accessible for your use!!!

I've checked here on my end. I found out that the feature you're trying to access unavailable. I can help you send a feature request to our Product Development Team. This way, they'll see your feedback and consider adding it to the next product update. I'll gladly input the steps below so you can proceed. To begin, here's how:

 

  1. Access your QuickBooks Online company.
  2. On the top-right corner, click the Gear icon.
  3. Under Profile column, select feedback.
  4. Enter a brief description of your feature request.
  5. Once done, press Send.

I am not using the Accountant mode.  I am the Admin and user of the account.

Here's the problem that I see, QB constantly changes things that make it harder and harder for us to do our jobs. I manage about 70 QB accounts, each one is a little different and when something like this comes up it is so frustrating. 10 minutes ago I was in an account and printed the forms no problem. Now I come into a different account and it is impossible to print. I need this data for the accountants, and why should we have to constantly talk to tech support when THEY are the ones that continually change and break the system?

 

I have not found a solution and all it does is waste my time and cost me and my clients money when QB changes and breaks the solution.

Every penny counts when running a business @Why888, and I'd like to share a couple of troubleshooting steps to help you print forms and get your work done in no time.

 

Before doing so, can you tell me if you receive any error messages when printing payroll forms? or did you experience anything else while printing? This way, I'll be able to share an accurate resolution to your query.

 

In the meantime, I recommend accessing your account in a private window or incognito. This is a special mode where the browser doesn't record the browsing activity on the local device, so no trace will be left on the computer. You can use either of these keyboard shortcuts:

 

  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P
  • Google Chrome: CTRL + Shift + N
  • Safari: Command + Shift + N

 

Once done, please try to print the forms again. If it works without issues, go back to your regular browser, and clear the cache to fix the unexpected behavior in the product. You can also use other supported web engines to learn what computer and browser are needed for the best experience when using QuickBooks.

It took me a bit to figure out why I could not print or even view any of my archived files in QBO.

I realized that the view or options button is in WHITE! So the button is still available in the upper right corner or the box for the specific file you need.

So it looks like you cannot view archives files, but you can!

Just click the invisible button in the upper right corner of the box for the file and it will open a new page so that you can view and/or print your archived file.

 

Someone at QBO Please ensure ALL your buttons are visible! And not white text on a white background.

I have to use incognito mode or I can't see forms or view.   
I do not see forms, view or print archived forms in google chrome.  I have to use Incognito mode.

 

I have found that a lot of Quickbooks payroll (acts quirkey or not at all) if I am not in Incognito mode.
