How do I rename a company in QuickBooks desktop?

Hi,

How do I rename a company I created in Quickbooks desktop?

There is NO gear icon to go to.

Again, I'm in QuickBooks desktop.

Change it under Company > My Company.  Then edit your Company Information.

Hello NameUser,

 

You can rename your QuickBooks Desktop company file through the File Explorer section. I'll guide you through the steps.

 

Before renaming the file, you'll have to create a backup copy of your company file. Then, you can start relabeling the file.

 

To begin with, you'll have to take note of the file location as to where your QuickBooks Desktop file is stored. To do so, open your QuickBooks Desktop program. On your keyboard, click F2. This will open the Product Information page. Then, go to the FILE INFORMATION section.

 

From there, click the Windows icon on your keyboard and then enter and select File Explorer. Then, right-click the file and select Rename. The company name may appear as [CompanyName].qbw or just [CompanyName]. Lastly, change the file name, and press Enter. Then, click Yes to confirm.

 

Afterward, you may set up QuickBooks Desktop to use the new company file name. Here's how:

 

  1. On your QuickBooks Desktop program, click the File menu.
  2. Select Open or Restore Company.
  3. Click Open a company file.
  4. Click Next.
  5. Select the newly renamed company file and click Open.

i am trying to change the company name from the list of companies menu. if i try to change the name of the company file on my computer and i try to access the company database on QB, the name of the database remains the same and i cannot access it  with a notification of "did you remove or rename your database" 

 

can you please advise ? becasue i changed it everywhere else. shouldn't it automatically change in the drop list of companies as well?

The company names you see when you start QuickBooks Desktop (QBDT), come from the actual file names on your computer. I can see that you've successfully renamed them, and as you pointed out, it won't automatically change in the list, and you'll encounter a warning similar to this when trying to open a renamed file:

 

To resolve this, we'll have to open each renamed company file. Then, hide the ones with the outdated name so they won't appear the next time you open QBDT.

 

You can follow these steps to open the renamed company files:

 

  1. Open QBDT and select Open or restore an existing company.
  2. Tick the Open a company file radio button. Then, Next.
  3. Choose the correct directory where the company files are. This article can help you in this task: Find QuickBooks company data files and backups.
  4. Once you've located them, pick a file, and hit Open.
  5. From the File menu, click on Close Company. This is to include the rest of the renamed company files in the list.
  6. Repeat steps 1-5 for all renamed files.

  1. In your QBDT startup screen, choose Edit List.
  2. Place a checkmark for the company file names you don't want to appear in the list.
