Question

How do I turn off the 'accept' button on my estimates?

I don't want anyone to accept online. I want them to contact me directly. I don't want pretty much ANY part of the automated stuff that keeps happening here. It's driving me crazy (I've already had trouble with the stupid system reverting back to offering credit card payments that I don't accept).

How can I remove that accept button so no one thinks they have accepted a bid, but I never hear about it?

Thank you

This isn't the experience we want you to have, Jo. I'm here to provide steps for turning off the accept button when sending your estimates.

The option to turn off the accept button when sending estimates is available in QuickBooks Online (QBO). This feature will apply when you create a new estimate transaction.

Here's how:

  1. Go to the Sales tab and select Estimates.
  2. Click Create Estimate.
  3. Select the Manage settings.
  4. Click the Customization dropdown, then turn off the Estimate Status.
  5. Select Review and Send.

I've also attached a screenshot for your reference:

Also, the automated system that keeps reverting you to offer credit card payments can be turned off. You can follow these steps:

  1. Go to the Gear icon and select Account and Settings.
  2. Select the Sales tab.
  3. Choose the Invoice Payments section, then uncheck the boxes for the payment methods selected.
  4. Click Save and Done.

Here are some screenshots for your reference:

After your client accepts your estimate, you can convert that estimate instantly to an invoice by checking this article: Convert an estimate into an invoice in QBO.

Please know that you can reply to this thread if you need further assistance with managing your estimates or any QuickBooks-related queries. Take care.

Hi - this method requires me to create an estimate - does this mean I have to do this every time I create one or will it remember for the next one? I don't want to have to be doing this every single time...??

Thanks for returning to this thread, Jo. I have some additional information to share regarding your query.

To turn off the accept button when creating new estimates, you will need to customize and turn off the Estimate Status. This customization will apply each time you create a new estimate transaction.

Alternatively, you can save a customized estimate format so that you won't have to recreate it. Here are the steps to do that:

  1. Go to Sales, then  Estimates.
  2. Select Create Estimate to create a new form. Or to edit an existing form, select an invoice or estimate from the list and select View/Edit.
  3. To add or remove fields, change the color scheme, or turn on payments on invoices, select Manage.
  4. If you still don't want the accept button to show, tick the Estimate Status under Customization again before sending.
  5. When you're finished customizing, select Save.

After your clients accept your sent estimates, you can convert it into an invoice. You can learn more about this process in this article: Convert an estimate into an invoice in QuickBooks Online.

I'll be on the lookout in the comment section for any further questions you may have about customizing estimates or any other QuickBooks-related concerns. We're always available to assist you. Stay safe!
