Hello there, @staff7.

Let's work together to solve the error message you received. I'm here to provide detailed information and steps to help you address this issue.

The error message appears when you attempt to use a field that has been deleted or marked inactive for a Customer, Contractor, Employee, Account, Item, or when running payroll.

To fix this, let's check inactive options for each field:

Employees:

  1. Go to Payroll and select Employees.
  2. Choose the Employees tab and click the Active Employees dropdown menu.
  3. From the dropdown, select All Employees. If you notice any inactive employees, proceed to open their employee profiles.
  4. Click the Actions dropdown menu and select Change status. In the Status dropdown, change the status to Active.
  5. Click Save.
  6. Make the necessary changes to other inactive employees.

Customers:

  1. Go to Sales and select Customers.
  2. Click the Gear icon and tick the Include inactive box.
  3. If you notice any inactive customers, proceed to open their customer profiles.
  4. Click Make active.

Items or Products and Services:

  1. Go to Sales and select Product & Services.
  2. Click the Filter symbol next to the search field.
  3. Select All from the Status drop-down menu and click Apply.
  4. If you notice any inactive items, click Make active in the ACTION column.

Accounts:

  1. Go to the Transactions and select Chart of Accounts.
  2. Click the Gear icon and tick the Include inactive box.
  3. If you notice any inactive accounts, click Make active in the ACTION column.

Additionally, you can access the audit log to track your activities and see changes in your company.

Let us know if you have other concerns with your transactions or list in QuickBooks. We're here to help you in any way we can.

I am have the same exact issue as the original poster.  I have checked EVERYTHING you mentioned, none of it fixes the problem.  None of the customers/items/accounts that are inactive have been changed within the past several months.  This problem just started late last week.  I think it's related to the awful update that Quickbooks did to their online invoices, but I don't know how to fix it. I cannot even create an invoice. This is a huge problem that needs to be fixed immediately.

Since I've checked everything on my end that you mentioned, and none of that was the problem, what can I do?

I spent an hour and half with customer support and then my spouse spotted the issue.   I could not save any new invoices once I imported the consultants time.  I repeatedly got the error message "Something you're trying to use has been made inactive. Check the fields with accounts, customers, items, vendors or employees"

The issue had nothing to do with the error message... the fix was in the tax rate line.   You are forced to chose a tax rate, even if your product is non taxable.    Our services are non taxable so we had been selecting "out of scope" - once we chose an artificial tax rate.. the invoice would save correctly.
