Import attachments into QuickBooks Online

I have been using QuickBooks desktop for Mac for over 10 years, currently I am using the 2020 version which is no longer supported.  From what I could tell it will cost many hundreds of dollars per year to continue using the desktop version.

From what I’ve been told in the past, if I switch to QuickBooks online there is no way to import my attachment library. I’m wondering if that has changed and if QuickBooks can now import the attachment library from the desktop version into QuickBooks online?

 

I have thousands of receipts and invoices attached to transactions over the last decade, if I get audited I need access to all of this.

Yes, you're right. The option to import my attachment library in QuickBooks Online (QBO) is still unavailable up until now. You'll need to do it manually, or you can utilize a third-party app that integrates with QBO and will allow you to upload attachments.

 

Here's how:

 

  1. Go to QuickBooks Online App Store.
  2. If you don't know what specific app you're looking for, go to the search bar and type in the keyword or the transaction you're going to do for your business.
  3. Then click on the magnifying glass icon to search and browse for any suggested apps.

 

If you want to learn more about the app, including contact details and support information, you can click on the app that provides services that are relevant to your business. Any questions about the integrated app in your Online account should be directed to the app's third-party provider.

I do have a question, why doesn’t QuickBooks import the attachments into QuickBooks online?  Why would I have to use third-party software?  I could only assume that the third-party software will not work properly and that is why QuickBooks is washing their hands of it.  

 

What sense does it make for me to upgrade to QuickBooks online if I still have to pay for QuickBooks desktop for Mac in order to have access to all of my previous transactions and attachments?

You can purchase a 3rd party service to convert data with attachments to QBO or other accounting apps.

Yet no one will recommend a third-party app because none of them work correctly.

 

If any of them did, Intuit would purchase it.

Correct. All migration tools don't support attachment data yet. We had to do it half manually to get it done.

If you need to upload attachments into QuickBooks Online in batch from your desktop then can recommend that you have a look at an app called Zed Axis that you can find in the Intuit Marketplace, this could be the solution you are looking for.   

 

You would need to have your data arranged as follows:

What if we need to move from one Quickbooks online account to another quicbooks online account?  Is there a way to get the attachements from one QBO account to another QBO account?

We're unable to move the attachments from one QuickBooks Online (QBO) to another, @exchequer1911. However, I'll be providing a workaround that you can use below.

In QBO, attachments can't be directly transferred from one QBO account to another. You'll need to manually download the attachments from one account and then upload them to the other account.

Here's how:
 

  1. Go to the Gear icon.
  2. Select Attachments.
  3. Once the Attachments list opens, click the Drag/Drop files here or click the icon to upload.
  4. Choose the file you want to upload, then select Open.

Moreover, you can also look and utilize a third-party app through the QuickBooks Online App Store that will allow you to upload attachments. If you want to learn more about the app, including contact details and support information, you can click on the app that provides services relevant to your business.
