Integration with Kickserv & QB Online

We use Kickserv scheduling software.  In May, we started invoicing through Kickserv's Stripe payment option  There's a problem with integration and the Kickserv people can't help.  Let's say a client owes us $100 and another client owes $50.  For the sake of the example we'll say the fee for the first is $1 and the fee for the second is .50.  Stripe takes out their fees in Kickserv in advance.   They migrate to QB in batches and both client's accounts would show paid in full, but the batch would be for $158.50.  We have batches that include maybe a dozen clients.  When you go to the Transaction page in the morning, the batch shows up and in order to move it into our check register, I have to accept it.  The problem is the individual client payments sit in the Bank Deposit page and I can't get rid of them.  We have 7 months worth that have accumulated.  If I try to cancel them, they are removed from the client account.  I just want to hide them.  The Kickserv people aren't familiar with QB so they can't help.

I am here to provide you with some insights about your payment transactions showing in the Bank deposit page. To help you avoid any confusion, the payments you see on your bank deposit statement are from Kickserv and can be easily matched to the transactions stored in the undeposited funds. This process will ensure that you have no duplicate entries and that your financial records are accurate.

 

Please follow the steps below to get you going.

 

  1. Go to +New and select Bank deposit.
  2. Under the Account, choose a bank account where you want to deposit these payments.
  3. Once done, click Save and close.
  4. Go to your Banking page and click the transaction with the same amount as your bank deposit.
  5. It says there that there's a match found. Under the Action section, select Match.

 

Now you successfully matched the transactions from your Bank deposit to the transaction in your Bank feed.

You don't really understand the problem.  There are two different procedures that happen.  Kickserv removes their fees before the batch of several customers is exported to QuickBooks.  First, the batch is sent over minus the fees and it doesn't break down which customers are in a batch.  Second, it sends over the individual customer amounts to the QB Bank Deposit page.  The batch is what actually goes into our bank account so that is accepted on the Transaction page and goes into the check register.  The individual customer amounts match with their accounts and they stay in the Bank Deposit page.  I can't get rid of them.  We started using Kickserv's Stripe online payment program in May and I now have 7 months worth of individual customer payments in Bank Deposits and I can't clear them.  If I delete them, they are deleted from the customer account and it looks like they didn't pay.  If I accept them, it duplicates the batch amount plus it looks like a full payment without the KS fee.  For example, if client John Doe has a bill for $100 and Jane Smith has a bill for $50 the batch amount might be $148 because it's minus their fees.  It migrates over to QuickBooks as a batch for $148 into our bank account which is correct.  But then the individual payments of $100 and $50 show up in the bank deposit credited to John and Jane.  And they sit there.  I can't delete them and I can't accept them.
