looking for a spot to keep PDFs within QBO even if they are not attached to a transaction. Is there a place to upload them? Thanks

Hello,

If the attachment is related to a customer or a vendor but not a specific transaction, you can attach the PDF to the customer or vendor profile.

Click Specific vendor - Vendor Details - Attachment at bottom

Click Specific customer- Customer Details - Attachment at bottom

If the PDF is a general thing not for a specific customer or vendor or employee, then click the Gear icon in upper right corner and then under Lists, choose attachments.

Thanks for checking in with us, newyorktutor.

Yes, we can upload a file directly to the Attachments list without attaching it to a transaction or profile. From the Attachments list, you can also edit, download, remove attachments, and more. Here's how:

  1. Go to the Gear icon on the top menu.
  2. Select Attachments.
  3. Once the Attachments list opens, choose one of the following actions:
    • Upload attachment: Select the Attachments button and choose the file you want to upload, then select Open.
    • Download: Choose a file from the list and select Download.
    • Edit: Select the Download dropdown ▼ next to a file and select Edit. You can edit the File Name or add Notes.
    • Delete: Select the Download dropdown ▼ next to a file and select Delete. Select Yes to confirm.
    • Create invoice: Select the Download dropdown ▼ next to a file and select Create invoice. A new invoice opens with the selected file already attached.
    • Create expense: Select the Download dropdown ▼ next to a file and select Create expense. A new expense opens with the selected file already attached.

We can also attach documents like pdf files in the customer and vendor profile. Let me show you how:

For a vendor profile:

  1. Go to Expenses and select Vendors (Take me there).
  2. Choose a vendor, then select the Vendor Details tab.
  3. Tap Attachments.
  4. Browse and select the file you want to attach, then click Open.

For a customer profile:

  1. Go to Customers & leads and select Customers (Take me there).
  2. Choose a customer, then select the Customer Details tab.
  3. Hit Attachments.
  4. Browse and select the file you want to attach, then click Open.
