Newly Added Customers Will Not Sort Alphabetically When Generating Reports, Statements or Invoicing, etc.

As in the subject line:

Newly Added Customers Will Not Sort Alphabetically When Generating Reports, Statements or Invoicing, etc.

 

This has been bugging us for awhile now, and it's only getting worse as we add new customers. We have about 30 new customers now that appear at the very top of a list in a A/R Summary Report, or when generating Statements or Invoices; all of our existing customers (pre-2020) sort properly after the unsorted new customers; each new customer appears at the very top of the list(s).

 

It's become very difficult for our bookkeeper to execute her workflow, as she cannot (from memory) predict where in a list she can find a target; eg., is Wagner in the random names at the top, or is it with the rest of the 'Ws' where it belongs?

 

Is there a fix for this?

Hello there, Frederico.

 

We can start troubleshooting by updating your QuickBooks Desktop to its latest release so the system will have the up-to-date fixes. Then, you can re-sort lists to make your lists back to their default order.

 

Here's how you can re-sort your customer list: 

  1. Go to the Customer Center.
  2. Click Edit at the top left of QuickBooks.
  3. Select Re-sort List.
  4. Then, OK.

We can start troubleshooting by updating your QuickBooks Desktop to its latest release so the system will have the up-to-date fixes. Then, you can re-sort lists to make your lists back to their default order.

I am having this same issue, however only with my Job Profitability Summary report. There is no resort option available when customizing this report that I can see.

 

Please help. This will only get worse and worse as we add new jobs.

I'll show you how to re-sort the list in QuickBooks, c4ring.

I'm here to ensure you're able to re-sort the list of your customers. We can do this by going to the List menu. I'll show you the complete process.

  1. Go to the Customers menu. 
  2. Select Customer Center
  3. Press Edit at the top left of QuickBooks. 
  4. Click Re-sort List
  5. Tap OK

That is not my question.

My customer list is fine. I know how to re-sort it and I did that several weeks ago when I noticed the new jobs going to the top of the list there. 

What is NOT fine is that my customers are still out of order in the Job Profitability Summary report, with the newest jobs on top alphabetically and older ones below that in alphabetical order.

My question is, since there is no re-sort option in that report, how do I get my report to stop displaying our jobs in the order it is currently?

I'll show you where you can locate the File menu in QuickBooks. I'll also throw in another set of steps to help you with the issues in the program. 

 

The File menu is located at the top-left corner of your screen. The location is the same for both QuickBooks Desktop (Windows) and QuickBooks Mac. Here's a couple of screenshots:

QuickBooks Desktop: 

 

 

Simply hover on Utilities, and select Verify Data. After the process, go back to the Utilities menu again and select Rebuild Data. Follow the prompts again to start the process. 

 

Just to clarify further, are you also having the same issues stated by Frederico? There are also other steps you can do to resolve this. 

 

Depending on what product you're using, you can use the Tool Hub to fix the issue in QuickBooks Desktop (Windows). If you're using the Mac version, you can simply reinstall the program with a clean install.

Hi All, for me, on Mac, it was as simple as going to the Customers Menu (I think) and choosing ‘Resort List’ (or something similar.  Go to the Help Menu and type ‘sort’, and any Menu items that contain the term will be exposed.
