Nonprofit Donor - Cumulative Donations

I have a new non profit client that tracks cumulative donations by donor. Can you import a donor (customer) list with amounts they contributed in years past? If so, what is the field type? I definately do not want the amount to show up in A/R. Thank you.

I appreciate your posting your concern here in the Community space, @Blessing2024. I'm here to guide you on importing a donor with their contributions in the past years. 

 

You can enter their contributions as an opening balance to import customer data in QuickBooks Online. However, this method will reflect the amount in your accounts receivable. There's a workaround to avoid this. You'll need to remove the opening balance amount for your customers from the CSV file before importing the data.

 

Here's how:

 

  1. Open the CSV file for the donor you want to import.
  2. Don't fill anything in the Opening Balance column.
  3. Export it as a CSV file.
  4. Open your QuickBooks Online company account.
  5. Go to Settings and select Import Data.
  6. Select Customers and upload your CSV file.
  7. Click Next and follow the further steps to finalize the import.

 

Once you have imported your donor/s, you'll need to manually enter a Sales Receipt transaction as their contribution with the correct date. This way, it will not affect your accounts receivable reports.

 

Furthermore, you can also learn how to create single or multiple transaction statements for donors. They're helpful for nonprofit organizations that are used to send activity reports to donors without showing a running balance or amount due.

There really isn't a way to add that kind of detail to your books without significantly impacting your books.

 

However, going forward when you need to create periodic donor statements, consider using our BRC Donor Statements - QB Online  product, which is built just for this purpose. It will create compliant donor statements for both the US and Canada from the donations you've recorded in QuickBooks Online.
