Hello, Johnny.

I'll make sure you can download your QuickBooks Desktop Accountant's Copy using the Accountant File Transfer Service (ACFT) feature so you can review your client's books and make necessary updates accordingly.

From your description, it seems you're asked to enter a file transfer password when downloading from ACFT. This is a password created by your client upon creating their Accountant's Copy. Please see the screenshot below for your reference.

Before giving you the resolutions, it's important to know the following if you're asked to enter a file transfer password when downloading from ACFT:

  • There's NO password reset tool for the encrypted password on Accountant's Transfer files.
  • If you can't get the password from your client, they'll have to remove the Accountant's Copy Restriction and re-send the Accountant's Copy.
  • If you received a password prompt from a file that you already converted to accountant’s working file (.qba), the file is probably damaged.
  • Once your client removes the Accountant’s Copy restriction and resend the Accountant’s Copy, this is IRREVERSIBLE. Make sure you have an agreement with your client, and they have a backup of their company file before doing so.
  • Ensure that your QuickBooks Desktop have the latest release.

To resolve this, you'll have to remove special characters from the file name and path or check for possible data damage. If you wish to do the first one, follow these steps:

  1. Open your windows explorer and browse to the location where the company file is saved.
  2. Check if the file name and file path have any special characters.
  3. Remove the special characters in folder name and file name as necessary.
  4. Re open the Accountant's Copy.

If you want to check for possible data damage on your client's company file (.QBW), refer to this article's You are asked to enter a file transfer password when downloading from ACFT (Solution 2) section: Troubleshoot Accountant File Transfer service issues.

Once you’re done making changes, export the accountant’s copy as accountant’s changes (.QBY). Send the file to your client and let them know how they can import the accountant’s changes to their company file.

Please keep me posted if you need further assistance accessing accountant's copy in QBDT. You can add your comment below, and I'll gladly help.

I recognize the need to access QuickBooks Desktop Accountant's copy to your file, Johnny. Allow me to share insights when receiving OTPs to enable files to download.

If an email notification was received to download the accountant's copy transfer file, a one-time password email should have been sent to your email provider. You'll want to consider reviewing your spam or junk folders and ensure to unblock or add Intuit's service-related email addresses on your safe sender lists on your email account. This is to make sure you'll receive timely and relevant communication from these services. Please refer to these sender addresses:

  • do_not_reply@intuit.com
  • intuit@eq.intuit.com
  • quickbooks@notification.intuit.com

You can refer to this article for more detailed information: Receive important email messages from Intuit. It also contains steps on how to include approved email addresses for your email provider.

However, if the same thing happens, we recommend contacting our Customer Care Team. They have the necessary tools to review your account and provide further processes to enable OTPs to be sent to your emails.

Here's how to reach them:

  1. Go to the Help menu and select QuickBooks Help. Then, click Contact Us.
  2. Enter a brief description of your issue and select Continue.
  3. Sign in to your Intuit account and click Continue. Then, select Continue with my account.
  4. We'll email you a single-use code. Enter your code and select Continue.
  5. Select to chat with us or Have us call you.

Moreover, I'm sharing this guide to help you change your accountant's copy working file to a regular company file in your desktop account: Convert an accountant's copy to a regular company file.

We'll be on this thread for any additional questions you may have when accessing the accountant's copy. Just let us know in the comments below, and we'll ensure to back you up. Keep safe.
